Job Purpose & Objectives
To provide a high quality, comprehensive and flexible HR support function to Linwood staff across all campuses under the direction of and in collaboration with the HR Manager and School Business Manager.
Responsible for providing guidance, support and coaching to the senior team under the direction of the HR Manager and using initiative to propose efficient working practices and systems for consideration by HR Manager.
Main Duties & Responsibilities
- To lead on the administration of Attendance at Work procedures including recording and monitoring of absences in appropriate MIS, accounting for different T&Cs, undertaking return to work interviews where appropriate and advising staff and senior managers of triggers and concerns as they arise. Supporting managers to undertake trigger meetings by providing guidance, training and timely information.
- To work with the HR Manager to ensure that policies and procedures are in line with General Data Protection Regulations, reporting to the school based DPO and/or Deputy DPO if these are breached in line with the school reporting procedures.
- Coach and advise Phase Leaders at Trigger 3 meetings, advising where appropriate within the meeting.
- Record and monitor staff absences including the TOIL spreadsheet in line with the TOIL Guidelines and annual leave for those on contracts exceeding term time, designing and supporting a system for requesting and authorising leave as appropriate.
- Support the HR Manager with the administration of all aspects of the HR function, e.g. responding to employment reference requests, liaising with line managers for accuracy of information, flexible working requests, resignation acknowledgements and other general correspondence as requested by HR Manager, personalising appropriately and updating MIS.
- To undertake DBS checks as authorised signatory ensuring SCR is updated with relevant information upon receipt for all staff, governors, volunteers and agency staff as advised ensuring it is Ofsted ready, taking responsibility for being aware of updates and changes to requirements from KCSiE, DfE, etc., and promptly make changes to SCR as necessary.
- Coaching and supporting the HR Administration Assistant through the HR tasks they are responsible for including assigned tasks within the recruitment and onboarding process, e.g. reference requests and verification, before HR Manager sign off. Monitor recruitment checklists and update SCR to ensure new staff documentation is in place prior to start date raising queries where this is not the case. Monitor and support the Annual Agreement from initiation, processing and collation of returns, follow-up process and reporting procedures on non-receipt.
- To assume role of Investigating Officer when directed, for management cases or act as note taker at staff meetings as requested by HR Manager or senior leaders, liaising with union representatives as and when required.
- Acquire and verify the accuracy of raw data and manipulate to produce accurate metrics for the department in support of its KPIs, e.g. absence, turnover, employee engagement. Design meaningful ways of representing the data for presentation to Executive Headteacher prior to Governing Board.
- Prepare reports for senior management and Governing Board covering any aspect of HR, including but not limited to, KPI data, absence data trends, turnover data trends, results of staff engagement, individual case reports.
- Take responsibility for your own continuous professional development and continue to seek information to ensure your knowledge is current and understand how it may impact on Linwood School’s policies and procedures. Share your findings on any potential impact on Linwood School’s policies and procedures and make recommendation to the HR Manager of any changes that are within your remit.
- At all times to role model the professional standards and behaviours outlined within the CIPD Code of Professional Conduct and demonstrate and uphold the values of the school.
- To undertake any other duties commensurate with the post as directed by the HR Manager and School Business Manager.
