Office Administrator/receptionist

The role is a varied and interesting job working in a medical practice within the reception area, the role includes, call handling and administrative duties. The role holder will have excellent communications skills for face to face and telephone interactions with patients and service providers and other health professionals at all levels. The role holder will have experience in dealing with the general public. To have positive demeanour and stay calm and work under pressure will also a kind and empathetic approach.
The post holder will be required to proactively communicate to relevant people i.e. staff, clinicians, patients and visitors you will have good PC literacy skills, using MS Office packages and NHS systems for which you will be given training. Ensuring attention to detail and consistently following protocols and procedures to respond to patient/ clinician’s requests and support with any urgent admin requirements. The role requires good organisational skills and be able to effectively prioritise their work.
The job is in a fast paced environment working as a team player as part of a larger team at both sites. The post holder will be required to work at either of the Practice sites.
Key tasks:
- To be the first point of contact for all visitors and patients when working at the reception desk.
- To book in patients and visitors in accordance with practice appointments and visitors procedures via call or face to face.
- Booking and amending patient appointments, taking registrations, payments, requests.
- To support with the management and execution of patient test results, medical records requests, patient access and any other adhoc patient queries/ practice health initiatives admin work.
- Dealing with complaints at first point of contact, raising/documenting incidents when required.
- To be responsible for the registration and deduction of patients
- Answering incoming & making outbound telephone calls, manging all queries from both patients and professionals and redirecting appropriately.
- Processing of patient varied requests and queries at reception or back office work..
- To participate in all Practice training, as required.
- To become familiar with practice procedures and protocols, and comply with them.
- To support with the regular upkeep of the site, adhering to and reinforcing health and safety across all sites.
- To play a part in all Reception and Practice Team activities, for example, meetings, training, huddles, and participate to continuous improvement within the practice.
- To be responsible for self-development with support of Practice Team.
