Imaging Administrator

Claremont Hospital are looking for an Imaging Administrator to join the team. This is a permanent full-time role (37.5 hours per week).
**1. **JOB PURPOSE**:
The post is an administrative role within the Imaging department offering patients a range of Diagnostic procedures which requires an individual with the ability to work effectively as a multi professional team member within a busy department. Excellent customer service, organisation and telephone skills are paramount to this role.
This position requires a ‘hands-on’ approach to work and is responsible for ensuring an effective, patient centred clinical administration team. The post holder will be part of an administration team mainly performing appointment scheduling tasks but will provide cover for the reception desk.
Provide an efficient and accurate appointment system to all patient and service user and a flexible approach is essential to maintain service needs
2. KEY ACCOUNTABILITIES
- Collect imaging post from post room and sort/deliver to the appropriate person.
- Listen to and respond to answer phone messages.
- Sort new requests for protocolling (for Radiologists) or coding (for Radiographers).
- Appoint requests in a timely manner with priority given to private patients as per contractual agreements.
- Medico-legal requests must be sent an accurate written quotation.
- Appoint all patients onto the PAS/RIS and PACS system
- Liaise closely with other bookings administrators and ensure good communication with all colleagues.
- Provide cover for reception
- Report any concerns to the Administrative Supervisor.
- Train and mentor any newly appointed administrative staff.
- Monitor stock levels within the working area.
- Identify problems and problem solve to develop and enhance the imaging bookings and administration service.
- Provide either verbal/written instructions to patients prior to them undergoing diagnostic examinations.
- Maintain a good working relationship with medical secretary’s to ensure a smooth patient pathway.
- Ensure patient information is kept updated and entered accurately on all IT systems.
- Other duties that may be required to assist in the general provision of the service, including cover of team absences as determined by the Administrative Supervisor and Imaging Manager.
- Maintain patient confidentiality at all times.
- Adapt to changing service needs by adopting a flexible working attitude
**PERSON SPECIFICATION**
**Essential**
- Good general standard level of education
- GCSE English
- RSA II or equivalent
- Experience of working in a customer care environment
- Experience of general office/reception duties
- Telephone booking experience
- Excellence in Computer Literacy
- Keyboarding skills
- Data inputting
- Excellent communication skills
- Must be able to work autonomously or in a team
- Able to prioritise and complete tasks in a timely manner
- Able to work under pressure
- Ability to multi-task
- Reliable
- Excellent telephone manner
- Tact and discretion
- Empathetic nature
- Flexible to service needs
**Desirable**
- ECDL or equivalent
- Previous experience of working within a healthcare or imaging setting
- Previous administration booking experience
- Previous use of hospital PAS and RIS systems.
