Facilities Assistant – Mail Room

Stevenage – Ste04

Work Your Way is our approach to flexible working – this is available from day 1 of joining and part-time hours will also be considered.

Our purpose is to make the world more sustainable by building trust in society through innovation. As a Facilities Administrator you will contribute to this by supporting our Environmental Objectives and Targets and working within the company's Environmental Management System.

As a Facilities Assistant you will ensure the franking machine is fully operational, properly funded, and able to handle the site's mailing requirements. You will also manage all aspects of incoming and outgoing post — including special deliveries, couriers, and other mail — by maintaining fully auditable logs and ensuring timely distribution, secure storage, and prompt collection in line with delivery schedules and Royal Mail collection times.

You will keep accurate forwarding lists for local employees and those working off-site.

You will carry out regular health checks on photocopiers, ensuring they are replenished with paper and toner and kept clean, and conduct daily checks of Management Centre meeting rooms to maintain tidiness, ensure adequate supplies such as flip chart paper and pens, and adjust layouts as needed.

You will support the Site Facilities Manager or Coordinator with building inspections, reporting findings as necessary, and performing routine checks such as spill kit and evacuation chair inspections.

Additionally, you will assist the Facilities Management (FM) Team with ad hoc site support as required.

You are expected to understand and comply with the relevant Operating Framework, Service Level Agreements (SLAs), and site-specific procedures, with particular attention to emergency procedures, contingency plans, and Fujitsu's Quality, Safety, and Environmental Management Systems.

Your transferable skills and experience:

  • Exhibit effective coordination and organisation skills
  • Able to clearly communicate with contractors and stakeholders
  • Good Time management and able to prioritise own and others workload to achieve desired results
  • Understand MS office and able to use applications
  • Have an eye for detail

Please note: It's still worth applying even if you do not meet all the requirements above. We are passionate about investing in you and your career and if you have the transferable skills/ background in administration processes this could be the next opportunity for you.

Your benefits:

26 Days annual leave plus public holidays (3 flexible)

Pension – Double matching contributions of up to 10%

Life assurance

Companywide incentive plans

Your choices (Flexible benefits such as increased holidays/ travel/ dental critical illness and more)
