Part Time Personal Assistant / Executive Assistant to the Managing Director
20 – 25 hours a week
We are seeking an exceptional Personal Assistant (PA) / Executive Assistant (EA) to support a busy, high-performing, down to earth entrepreneurial Managing Director who is managing significant business and personal tasks and demands. This role is designed for someone who is highly organised, resilient, discreet, and proactive — someone who can take ownership of tasks, anticipate needs, and act as a trusted partner to reduce both professional and personal pressures, enabling the MD to focus on strategy and business growth.
The company has a relaxed and informal vibe, whilst delivering an outstanding service. The turnover is approximately £8 million.
The successful candidate will thrive in a fast-moving environment, balancing strategic priorities with day-to-day organisation, while ensuring the MD's time and energy are focused on the highest-value activities.
Key Responsibilities of the Personal Assistant
Business Support
- Diary and inbox management; prioritising and scheduling to maximise productivity.
- Preparing briefings, agendas and presentations.
- Taking minutes in meetings, type up, distribute and co-ordinate meeting follow-ups.
- Acting as gatekeeper, handling correspondence and filtering communications.
- Liaising with clients, internal teams and management with professionalism and discretion.
- Managing business travel, restaurant and hotel bookings.
- Supporting project administration and ensuring deadlines are tracked and met.
- Supporting the arrangement of social activities and Christmas party.
Personal Support
- Managing personal diary, appointments, and household logistics.
- Handling personal errands, including travel, reservations, and family-related administration.
- Overseeing personal finances, bills, and service providers where required.
- Acting as a "second brain" by listening, prioritising, planning, and problem-solving.
- Ensuring a balance between work and personal commitments, helping create breathing space for the MD.
Skills & Experience
- Proven experience as a PA, EA, or similar, ideally supporting a senior executive.
- Or, we are open to hearing from you, if you feel that you have the appropriate skills.
- Exceptional organisational and time-management skills, with the ability to juggle multiple priorities.
- High emotional intelligence, with the ability to read situations and act with empathy and tact.
- Strong written and verbal communication skills.
- Discretion and trustworthiness — handling confidential information with care.
- Tech-savvy: confident with MS Office, Google Suite, and collaboration tools (e.g. Slack, Trello, Time Management to help keep things on track).
- Problem-solver with initiative, resourcefulness, and a "can-do" attitude.
Personal Qualities
- Calm under pressure; able to create order out of chaos.
- Resilient, adaptable, and comfortable with shifting priorities.
- Proactive self-starter who anticipates needs rather than waits for instruction.
- Approachable, empathetic, and supportive — a steadying influence.
