As the Volunteer Coordinator, you are responsible for leading our successful DocCrew volunteer programme. Liaising with all Festival teams to ensure the right support is in place pre, during and post-Sheffield DocFest 2026. The Volunteer Coordinator will ensure support for a number of people from a wide range of backgrounds so that they can have the best experience possible during the festival. As the Volunteer Coordinator, you will be at the heart of the DocCrew volunteer programme, which attracts more than 500 applications each year, from across South Yorkshire and across the UK, working with local community groups, visiting local universities and schools.

£26,000 per annum, pro rata

Fixed-term contract:

16th March - 3 days per week

6th April - 3 days per week

4th May - 16th June full time.

Outreach & recruitment

  • Coordinate all aspects of the DocCrew Volunteer programme from recruitment, interviewing, scheduling to training, attendance, rewards
  • Identify partnerships, processes and improvements to ensure volunteers are recruited and supported from a wide range of backgrounds and lived experience
  • Present the DocCrew volunteer programme at local and national universities and colleges to recruit volunteers
  • Coordinate the volunteer information, and ensure it is up to date, across the DocFest website and on social media
  • Coordinate pre-Festival DocCrew meets (socials, interviews, training and inductions) in May
  • Interview, appoint and schedule volunteers that are successful with their application
  • Assist with fundraising towards the volunteer programme including in-kind donations where possible.

Planning, Delivery and People Management

  • Meet all festival teams to discuss volunteer needs for pre, during and post festival, to inform scheduling and planning
  • Maintain an up to date database of volunteer requirements for the Festival, the applications received and role availability in our festival management software volunteer module
  • In consultation with the Head of People & Access develop the Volunteer Reward Scheme
  • With the Finance team, oversee the expenses process for the volunteers, ensuring that the process is clear and concise
  • Ensure that all volunteers have a positive experience attending and taking part in the Festival in June 2026
  • Lead the induction sessions for volunteers, liaising with festival teams to comprehensively brief volunteers and explain opportunities available
  • Coordinate the volunteer schedule, liaising with all teams ahead of the Festival and continually communicate any potential issues in advance
  • Ensure each volunteer registers online for a Volunteer Pass before the Festival
  • Review and update the post-festival volunteers survey, making required amends and ensuring contact details are correct to disseminate the survey post-festival

Festival delivery

  • At the festival ensure that issues are dealt with and escalated where appropriate to the Head of People & Access
  • Work closely with and task manage the Volunteer Assistant
  • Liaise with catering suppliers to provide daily lunch packs/tokens for staff and volunteers during the Festival
  • Provide a point of continuity and support to volunteers at the volunteers hub, ensuring teams are checked in, issues are escalated and support provided
  • Organise the volunteer's social at the end of the festival

Post Festival

  • Provide feedback in the form of a written report, to be presented at the Festival debrief meeting
  • Provide a handover report on the ongoing work to be continued on your departure by the Operations team.

Additional

  • Answer phones and direct enquiries to the relevant team
  • Respond to internal and external queries via email and on Google Chat
  • Actively promote and support diversity and inclusion in all Sheffield DocFest's activities
  • Adhere to Sheffield DocFest health & Safety policy
  • Adhere to and actively participate in how Sheffield DocFest delivers on our commitment to the environmental policy
  • Ensure all data stored is GDPR compliant
  • Create and maintain good working relationships with all Sheffield DocFest colleagues
  • Be an ambassador for Sheffield DocFest and maintain professional approach at all times
  • Commit to and uphold Sheffield DocFest values: creativity, empathy, freedom, inclusivity and internationalism
