**This role is hybrid with some in person work at our Plumpton Office (BN7 3AL)**

Main Duties and Responsibilities

· To take ownership and accountability for our critical information, systems, and assets, build solutions, implement new software and hardware, provide training, and assist in the development of an overall IT strategy at Genius Within.

· To maintain essential IT operations and a dependable IT infrastructure within the organisation.

· To lead on compliance with ISO27001 activities, creating systems and structures to support a neurodiverse team

· To lead and support internal and external partners as relevant to communicate project status, activities, and achievements.

· To work alongside Directors and manage the IT spend and annual budget for the systems of the business, including software licencing over the total business, regularly reviewing business need and spend on software licences to contain legacy costs.

IT Operations

· Take responsibility for maintaining operating systems, security tools, applications, email systems, laptops, software, and hardware so they enable our teams to deliver a prime service to our clients.

· Manage business-critical IT tasks and systems that provide a commercial advantage in a competitive marketplace.

· Enable faster and smarter business processes and implement analytics for meaningful insights by reviewing errors and fails to predict and prevent future occurrence.

· Perform IT administration tasks, including user/group administration, security permissions, internal policies, printing requirements, research event log warnings and errors, and resource monitoring, ensuring systems architecture components work together seamlessly.

· Maintain internal infrastructure requirements including laptops, servers, routers, switches, firewalls, printers, office phones, security updates, support internet, LANs, WANs, and network segments.

· Work closely with the Directors to identify future IT enhancements and lead the project delivery to employees and associates, including developing and delivering on project plans.

· Perform routine/scheduled audits of the systems we use, including all backups.

· Be responsible for ordering, recycling, and maintenance of IT equipment (for example, from leavers to new joiners) and ensuring costs are controlled and reported to Directors.

· Carry out monitoring of systems to ensure system health and security.

IT & Systems Admin

· Conduct regular IT surveys relating to systems security and equipment registers to ensure we have real time data

· Hold and maintain all our IT assets and certificates and liaise with external IT providers such as Fluid One

· Ensure all IT policies are up to date, creating new ones where needed in response to business ecosystem changes and in line with company strategy and values.

· Produce systems reports as needed, to share with the Directors in order to keep all abreast of system status.

· Due to the nature of the work, you will come across sensitive information, which you will always keep confidential.

· You will work independently, organising your own workload to maximise success and effectiveness.

· Plan and schedule work to ensure targets and deadlines are met, communicating any unforeseen delays in advance, and ensuring that the leadership team are informed of any issues that compromise wider strategy and smooth running of the business.

· Identify opportunities to implement AI-driven automations across internal IT operations, including ticket triage, device monitoring, knowledge bases, log analysis, and user support workflows.

Compliance

· Lead and maintain ISO27001 certification.

· Develop and enact 27001 audit schedule for the business, raising and reporting on non-compliance in regular meetings.

· At every point of non-compliance, consider how an IT solution could be designed and deployed to prevent human error, maintain a list of these development opportunities with costs and present them regularly to the leadership team to ensure they are budgeted for and delivered.

· Run BSI audit meetings, ensure that all documents are available, and have been checked and confirmed in advance by relevant managers. Coordinate any other staff member that needs to attend.

· Lead the completion of external security questionnaires due-diligence assessments, supplier forms, and client assurance documentation related to internal IT, data protection, security controls, and ISO27001 readiness.

o Work with the Digital Technology team to provide consistent and accurate answers for any areas that interface with Genius Finder or other platforms.

o Maintain a central library of standardised responses, evidence packs, and compliance statements to speed up future submissions.

Development, Support and Training

· Act as first line of support and respond to support requests in a timely manner, with a view to resolve without undue delay. Introduce systemic change for repeated incidents.

· Maintain a ticketing system and create a service level agreement standard for queries and IT failures which will be reported on monthly

· To provide IT User Manuals where relevant and roll out to our teams to enable associates and employees to maximise their interaction with our IT systems

· To plan and deliver IT training to new joiners and organise annual refreshers (such as IT security).

· To attend internal team meetings at least every 2 months to provide opportunity for ad hoc questions, problem solving and training.

· To hold expertise in assistive technology for supporting disabled people and ensure that the company is able to deliver these to any member of staff, per required need.

Other

· To work flexibly to meet the demand of the business.

· To perform such other duties as may, from time to time, be allocated to you, consistent with the responsibilities of the post.

· To understand the principles of the Data Protection Act 2018 and the General Data Protection Regulation 2018 and the Freedom of Information Act 2000 and be responsible for ensuring that Genius Within is up to date and systemically compliant with these statutes.

· To take necessary precautions to ensure Health & Safety responsibilities are adhered to and any risks to personal safety are minimized.

Continuous Professional Development (CPD)

· To proactively demonstrate in all that you do our ethos of continuous learning, whether relating to IT, neurodiversity, diversity & inclusion, and the clean feedback model that we use.

· To maintain own CPD and learning internally, as agreed with your line Manager, including external IT-related events.

Knowledge, Skills and Experience

· To be successful in this role, you will need demonstrable experience in IT and systems management, with advanced level of working with Microsoft 365, databases, and cloud-based platforms.

· Experience of coding, trouble shooting, deploying and maintaining IT software.

· Excellent project management skills, application design and integration, with the ability to deliver different tasks to their completion within deadlines – we work in a fun but fast-paced environment.

· Strong numeracy and analytical skills, with an eye for detail.

· Strong verbal and written communication skills (we welcome reasonable adjustments such as assistive technology to help you achieve this at your best).

· Ability to anticipate and raise potential problems, identify solutions and act decisively to resolve promptly.

· To communicate effectively with colleagues and senior managers, including raising concerns, whistleblowing and giving feedback.

· Must be able to work on own initiative (for example, when working from home), as well as being part of a team; flexibility and adaptability are required at Genius Within.

· Ability to establish, build and maintain positive relationships at all levels.

· Act as role model and 'walk own talk' through attention to own patterns of behaviour, learning and career progression.
