Job Summary

We are seeking a highly organised and detail-oriented person to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office by providing comprehensive support to the Operations Teams.

Responsibilities

  • Develop and maintain customer relationships, providing a direct and efficient link for managing referrals and promoting Oaktree with external stakeholders.
  • Complete all administration tasks of the referrals process including provision of expressions of interest to the placement team.
  • Maintain accurate Daily Bed Availability information, circulating to relevant stakeholders to maximise referrals.
  • Organise customer placement contract documentation and distribute to appropriate home manager.
  • Maintain accurate referrals data including referral volumes, completion of management process and placement request outcomes.
  • Collate accurate information on each Children's Home to support promotion of the positive outcomes that could be achieved when placing young people with our service.
  • Completion of monthly bed data to inform month end finance, including liaison with the finance team and home managers.
  • Offer business support administration.

  • Supporting the Operations team with full oversight of training needs of staff teams.

  • Sourcing learning opportunities.
  • Support delivering our in-house induction/training to new and existing care staff in line with Ofsted / CQC guidelines.
  • Develop appropriate teaching styles and deliver methods to meet the needs of our learners.
  • Training both theory and practical elements of the training programme.
  • Maintain accurate records and files, both physical and digital, to ensure easy retrieval of information.
  • Answer phone calls professionally, addressing inquiries and directing calls as necessary.
  • Support the team with various clerical duties such as typing correspondence, filing documents, and managing office supplies.

Understanding and experience of Health and Social Care settings and primarily children's services.
