Executive Assistant

Seeking a proactive, highly organised and detail orientated Executive Assistant to support our Senior Management Team and Central Operations function. This role includes personal assistant (PA) duties to the Senior Management Team, project support, and contributing to the smooth day-to-day running of business operations including management of ticketing system.
Ticket Management & Coordination
Monitor, manage, and prioritise incoming tickets through the company's ticketing system, ensuring timely responses and resolutions including clear lines of communication.
Assign tickets to relevant departments and individuals. Track progress to ensure completion within agreed service-level agreements (SLAs).
Compile, review, and analyse ticket data to identify recurring issues, operational trends, and opportunities for process improvement.
PA Duties to Senior Management Team
Provide comprehensive administrative and PA support to members of the Senior Management Team.
Manage diaries, schedule meetings, and coordinate travel arrangements and itineraries.
Responsible to manage actions produced from meetings using an AI platform are completed.
Including maintaining accurate records, managing email correspondence, and handling day-to-day office coordination tasks.
Management of actions from Microsoft 365 Business Voice.
General Administration
Act as a central point of contact for internal and external queries.
Maintain records and shared documents to ensure accuracy and accessibility.
Process and manage operational paperwork and reporting tasks.
Support with the onboarding of new staff, including arranging inductions.
Project Support
Assist with the coordination and administration of business projects and initiatives including scheduling contractor works and appointments.
Be responsible to track project deadlines, deliverables, and documentation.
Raise purchase orders, track supplier quotes and deliveries, and maintain up-to-date contractor and supplier records.
Liaise with external contractors and suppliers to arrange surveys, works, and deliveries while ensuring all documentation is accurately filed and accessible.
Data Management & Reporting
Manage and compile data research for projects, providing organised and insightful reports as required.
Track, update, and maintain various logs, registers, and databases to support operational visibility and decision-making.
Summary
As an Executive Assistant, you will be integral to the smooth operation of our organisation, reporting directly to Head of Central Operations. Your core skills in administrative support and organisational abilities will be essential in managing schedules, coordinating meetings, and handling correspondence. Proficiency in Microsoft Office will enhance your effectiveness in tracking and document preparation. Additionally, your relevant skills in data entry, clerical tasks, and phone etiquette will ensure efficient communication and documentation.
Requirements
· 2 Years+ Proven experience in PA/Administration role
· Strong organisational skills and attention to detail
· Excellent written and verbal communication skills
· Proficient in Microsoft Office Suite (Word, Excel, Outlook)
· Ability to manage multiple tasks, prioritise effectively, and work under pressure
Desirables
· Experience in Health and Safety/Facilities background
· Experience supporting project work or operational functions
Familiarity with working in a multi-site or operational business
Job Types: Full-time, Permanent
Pay: £30,000.00-£34,000.00 per year
