Part-time Administrative Assistant

From our Engineering and Project Management offices in Ely, near Cambridge, and Fabrication and Assembly facility in Swansea, South Wales, Oil & Gas Systems undertake the complete design and supply of skid mounted or packaged equipment for the oil, gas and power industries, gas turbine producers and EPC companies.
We are seeking a proactive, confident, and professional individual to act as the first point of contact for visitors and callers to our organization, and to carry out a wide range of administrative tasks for our manufacturing workshop.
Main duties include:
- Typical reception duties, such as welcoming visitors, issuing access fobs and badges, maintaining and staff boards, meeting room management, incoming/outgoing mail etc.
- Provide tea, coffee, and lunches for visitors.
- Ordering supplies, office supplies and office equipment.
- Arrange service visits for building repairs and factory equipment, including raising purchase orders.
- Process staff timesheets and assist colleagues with processing temporary and permanent workers timesheets.
- Providing administrative support to colleagues as required. Typical tasks may include, for example assisting with raising non-contract Purchase orders. Paperwork, data input, collating and/or scanning documents, project document control, and coordination, authorization of invoices etc.
- Arrange hotels and travel and training courses for Gorseinon employees.
- Health and safety conformance related tasks.
The employee carrying out our organization's front of house function must have a polite, professional, and friendly outlook. They should be able to carry out the function with the minimum of supervision and will possess fabulous organization skills with a good standard of administrative and PC skills (to include Microsoft Word, Outlook, Excel, and internet).
Previous experience within a similar role is essential. Also, as part of this role, you will be exposed to sometimes sensitive and confidential data so the successful candidate will be required to maintain absolute discretion in this regard.
