Role Summary

We are hiring a Business Support Officer (Property Operations) to deliver compliance, document control, reporting and contractor coordination across our portfolio. You'll maintain statutory registers, manage records in our DMS/CRM, schedule approved suppliers, track SLAs and prepare operational reports for directors. This is an analytical/administrative (RQF6) role and does not involve lettings/sales negotiation or rent setting.

Key Responsibilities

Compliance & Records

  • Maintain registers for EPC, Gas Safety, EICR, insurance and licences; track expiries and exceptions.
  • Keep property/tenancy documentation up-to-date with version control and audit trails.
  • Produce weekly/monthly compliance dashboards and exception reports.

Supplier & Contract Coordination

  • Log maintenance tickets; schedule approved contractors; track POs, SLAs and job closure reports.
  • Maintain the contracts register (cleaning, maintenance, waste, utilities) and diarise renewals.
  • Collect and file supplier compliance (insurance/RAMS/accreditations).

Reporting & Finance Support

  • Compile basic spend/reconciliation summaries from approved invoices/POs.
  • Prepare cost/benefit notes for small works using standard templates.
  • Collate data for occupancy/compliance/KPI reporting.

Process & Governance

  • Help draft and improve SOPs/checklists; support internal file reviews and audit readiness.
  • Draft routine correspondence and standard notices as directed; maintain a communications log.

Requirements

  • Bachelor's degree (Business/Management/Property/Facilities or related).
  • Strong document control and data handling skills (Excel/Sheets; DMS/CRM).
  • Good understanding of property compliance frameworks (EPC, Gas Safety, EICR, licensing).
  • Excellent organisation, attention to detail and written communication.
  • Experience coordinating suppliers/contractors and tracking SLAs is an advantage.
  • Experience in UK property operations/admin is desirable.
