Transport Planner and Office Administrator Job Description:
- Prioritize Workload: Efficiently prioritize and manage a demanding transport plan for multiple customers.
- Develop Backhaul Lanes: Establish backhaul lanes with both ASK4 COURIERS depots and third-party customers to maximize fleet utilization.
- Compliance Management: Ensure adherence to the Working Time Directive Compliance and all relevant transport legislation.
- Sub-Contractor Management: Cover loads with sub-contractors and negotiate competitive rates.
- Network Utilization: Utilize the extensive ASK4 COURIERS network, collaborating with other depots to cover outbound loads and secure reloads, ensuring efficient and effective planning.
- Revenue and Cost Analysis: Review, understand, and produce vehicle earnings and revenue reports while maintaining a comprehensive understanding of associated costs.
- Stakeholder Relationships: Forge excellent working relationships with stakeholders to ensure smooth operations.
- Efficient Planning Communication: Clearly explain efficiencies and plans to management and supervisors.
- Customer Order Management: Handle customer orders, considering percentage load fill, pallet count, etc., and build them into an efficient plan that minimizes empty running and maximizes profitability while meeting customer-agreed KPI targets.
- Office Administration Support: Assist with day-to-day office duties, including:
- Answering Phones and Emails: Respond to phone calls and emails promptly and professionally.
- Filing and Documentation: Maintain organized filing systems and manage transport-related documentation.
- Data Entry: Accurately enter data into transport management systems and other relevant databases.
- Scheduling Meetings: Arrange and schedule meetings, preparing necessary materials and ensuring follow-ups.
- Supply Management: Monitor and order office supplies as needed.
- Administrative Coordination: Collaborate with office staff to ensure smooth daily operations and assist in administrative tasks as required.
- Customer Service: Provide excellent customer service by addressing inquiries and resolving issues promptly.
Requirements:
Experience: Previous experience in a Transport Planning role is mandatory.
Positive Attitude: A can-do, positive attitude with the initiative to constantly revisit and optimize the transport plan, ensuring efficiency and achievability while maintaining targeted vehicle earnings and customer service.
- Busy Office Experience: Experience working in a busy transport office environment.
- Legislation Knowledge: Knowledge of Drivers' Hours, Tachograph, and Working Time Directive (WTD) legislation.
- Education and IT Skills: A good standard of education and IT literacy.
- Health & Safety Knowledge: Understanding of health & safety regulations.
- Commercial Understanding: Strong commercial understanding.
- Transport Systems Knowledge: Ideally, knowledge of transport systems such as ESP, GTS, Transporeon, Blujay, or similar systems.
- Administrative Skills: Proficiency in office administration tasks including phone etiquette, filing, data entry, and scheduling.
This role at ASK4 COURIERS requires a proactive individual with excellent planning, communication, and negotiation skills, who can also support daily office operations, ensuring efficient transport operations and high standards of customer service.
