What does a HR Operations Specialist do at Busuu?

This role will sit at the heart of our People Operations team, ensuring accuracy, compliance, and exceptional service across all HR processes in the UK and Spain.

You will lead day-to-day operational activities while also contributing to the redesign and automation of many of our current workflows.

This is a critical hands-on role for someone who loves operational excellence, thrives in detail, and enjoys improving systems and workflows. You will play a key role in ensuring continuity during a transition period, while also supporting our move towards greater automation using AI.

Key Responsibilities

HR Operations & Workday Administration

  • Manage end-to-end HR administration, including contracts, onboarding, offboarding, employee changes, compliance checks, absences, probation tracking, and document management across Workday and internal HR systems.
  • Action all employee lifecycle changes in Workday with high levels of accuracy.
  • Maintain clean, compliant employee records and ensure alignment with local employment and legal requirements (UK & Spain).
  • Run and maintain core HR reports and dashboards as required.
  • Execution and coordination with external providers (H&S, Benefits, etc.) to ensure timely and compliant service delivery.

Jira / Ticketing Ownership

  • Act as the first point of contact for People-related Jira tickets, ensuring timely responses and excellent service levels.
  • Identify recurring issues and patterns that could be resolved through automation or process improvement.
  • Ownership of the HR Inbox (e-mail)

Automation & AI Transition Support

  • Work closely with the People Team and Engineering partners to:
  • Map current manual workflows
  • Identify steps suitable for automation
  • Support testing and rollout of AI-powered solutions
  • Help redesign processes so they are simpler, faster, and more scalable.
  • Ensure automation initiatives reduce manual workload, increase data accuracy, and improve employee experience.

HR Compliance & Documentation

  • Prepare employment documentation including offer letters, contract variations, and reference letters.
  • Support monthly payroll preparation alongside Finance (data accuracy checks, audits, updates).
  • Ensure HR policies, templates, and workflows remain up to date and correctly implemented.
  • Execute mandatory H&S and other legal requirements in Spain, coordinating with external providers and ensuring employees complete legally required training and assessments, supported by an HRBP.

Collaboration & Team Support

  • Partner closely with the People team (HRBP, Employee Experience, Payroll) to ensure seamless delivery of all People processes.
  • Provide ad-hoc operational support during a period of organisational change.
  • Contribute insights and recommendations to help shape future HR operations.

Who You Are

  • Strong experience in HR Operations / HR Administration, preferably in a fast-paced, scaling environment.
  • Solid understanding of Spanish HR processes, legal requirements and local employment practices.
  • Confident using Workday (or another enterprise HRIS) -you will be hands-on from day one.
  • Experience with ticketing systems (e.g., Jira, Zendesk, Freshdesk).
  • High attention to detail and a natural problem-solver.
  • Highly proactive
  • Comfortable working with processes, systems, and data.
  • Curious about automation and open to learning how AI can streamline operational work.
  • Strong organisational and prioritisation skills, able to manage multiple deadlines independently.
