The Hindu Buddhist Cultural Association (HBCA) is a charitable organization dedicated to promoting cultural understanding, unity, and harmony through community events and educational programs. Our annual Sri Lankan Daycelebration brings together people of all backgrounds to experience the rich traditions, food, dance, and spirituality of Sri Lanka's diverse heritage.

Position Overview

The Event Coordinator will be responsible for planning, organizing, and executing the Sri Lankan Day celebration. This includes managing event logistics, coordinating volunteers and vendors, organizing planning meetings, and developing a financial plan to ensure the event's success.

This role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with a team of volunteers, cultural performers, and sponsors.

Key Responsibilities

Event Planning & Coordination

  • Develop a detailed project timeline and checklist for all event activities.
  • Coordinate logistics including venue booking, permits, equipment rental, and catering.
  • Liaise with performers, cultural groups, and vendors to confirm participation and requirements.
  • Manage volunteer recruitment and task delegation.

Meetings & Communication

  • Schedule and lead planning meetings with the organizing committee.
  • Prepare agendas, record minutes, and track action items.
  • Serve as the primary point of contact between stakeholders, ensuring clear communication across teams.

Financial Planning & Budgeting

  • Develop a comprehensive financial plan and event budget.
  • Track expenses, manage invoices, and ensure cost-effectiveness.
  • Assist with fundraising efforts, sponsorship proposals, and grant applications.

Event Execution

  • Oversee event setup, registration, and overall flow on the day of the event.
  • Ensure all logistical details are executed smoothly and safely.
  • Coordinate post-event wrap-up, feedback collection, and financial reporting.

Skills & Qualifications

  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Experience in event planning or coordination (preferred).
  • Basic financial management or budgeting knowledge.
  • Proficient in Google Workspace or Microsoft Office tools.
  • Ability to work collaboratively with volunteers and community members.

Job Type: Full-time

Pay: £24,420.00-£30,000.00 per year
