Hours / Days

Based on 37.5 hours per week Mon - Fri, working from our offices based on Uckfield High Street, near Luxford Field Car Park (free parking).

About the Role

We are seeking a highly organised and proactive Purchasing & Logistics Co-ordinator to join our team. This vital position supports the effective procurement, stock management and logistical delivery of parts, materials, hire equipment and plant essential to our service, installation and maintenance operations.

The successful candidate will manage suppliers and hire companies, ensure timely deliveries, maintain accurate stock and booking information, and work closely with internal teams to meet client and operational requirements efficiently and reliably.

Key Responsibilities

1. Purchasing, Hire & Supplier Coordination

  • Raise purchase orders for suppliers, hire companies and contractors, ensuring accurate pricing, product codes and quantities.
  • Source, purchase and coordinate the hire of specialist tools, plant and equipment required for projects and service visits.
  • Track orders and hire arrangements, following up with suppliers to ensure all materials and equipment arrive on site on time.
  • Manage, update and input new product codes, prices, hire rates and supplier details into the company system.
  • Source new parts, components, materials and tools as required.
  • Process supplier invoices and prepare them for the Accounts Manager.
  • Reconcile projects once completed, ensuring all materials, hire charges, costs and documentation are accurate and accounted for.

2. Stock Control & Warehouse Management

  • Pick, pack and distribute parts and components from head office to engineers or client sites.
  • Record stock movements accurately within the system and maintain up-to-date stock records.
  • Conduct stock planning to ensure appropriate material levels are held at all times.
  • Take delivery of incoming goods and ensure they are logged and stored correctly.

3. Logistics & Operational Support

  • Liaise daily with clients, engineers, hire companies and suppliers to coordinate deliveries, collections and equipment requirements.
  • Work closely with the Booking Co-ordinator and Account Managers to ensure operational demands are met.
  • Support the preparation of weekly performance reports for the service department.
  • Arrange service visits and basic administration for company vehicles.

4. Compliance & Documentation

  • Ensure Health & Safety documentation relating to stock, deliveries, equipment and plant hire is updated, issued and maintained.
  • Support internal compliance processes, ensuring accurate and timely record-keeping.

Skills & Experience Required

  • Strong administrative experience, ideally in purchasing, logistics, stock control or plant hire coordination.
  • Highly organised with excellent attention to detail and a methodical approach.
  • Able to multitask, manage competing priorities and work effectively under pressure.
  • Practically minded and confident in handling materials, tools and equipment-related tasks.
  • Friendly, professional and assertive communication skills.
  • Proficient in MS Office and Outlook; experience with stock or procurement systems beneficial.
  • Motivated, positive and able to build effective working relationships with clients, engineers, hire companies and suppliers.
