Join us as our Events Co-ordinator on an 18-month fixed term contract and become a vital part of our dynamic Events, Exhibitions and Travel team In this role, you'll be at the heart of delivering exceptional business services that bring our conference series and diverse science community events to life.

We're looking for an experienced event professional who thrives on variety and combines strong administrative skills with a passion for delivering outstanding customer experiences.

At the RSC we embrace flexibility and offer hybrid working, which means our teams come together in person or online when they need to collaborate. Although this role is contractually based at our Cambridge office, you will be able to work from home within the UK, with the expectation that you will attend events at least twice a month, and will be available to prepare event materials in the Cambridge office as required.
This role involves UK travel within and  may occasionally require international travel.

Accountabilities

  • Managing the event system for registrations, including providing registration set up online for events and invoicing

  • Managing the event system for abstracts, including providing abstract set up online for events

  • Providing first point of contact customer service, including dealing with straightforward queries

  • Preparing event materials including abstract books, badges and delegate information

  • Collation and delivery of event materials

  • Preparing feedback questionnaires and logging responses

  • Preparing statistical reports, delegate lists, feedback reports, etc.

  • Liaising with Finance regarding payments and debtors

  • During hybrid events, providing helpdesk support for virtual attendees 

  • Database moderation for RSC events website, and RSC event website editing tasks

  • Liaise with other RSC departments including Membership, Finance, Production Services and Technology, and third-party system providers, to ensure smooth running of event management systems, proper use of customer data, correct use of RSC branding on event materials and accuracy of financial transactions

  • Attendance at RSC events to support other colleagues as required, e.g. running registration desk, dealing with queries, etc.

  • To carry out other duties and projects, as required

Knowledge and skills required 

  • Previous administration experience is essential, together with strong organisational and time management skills, with the ability to work under pressure and prioritise to deliver against deadlines

  • Excellent customer service and communication skills, ideally within an events capacity

  • Good verbal numeracy skills and attention to detail

  • An effective team player with a positive attitude to doing routine tasks as well as learning new skills

  • Competent in the use of IT solutions and an awareness of data protection and confidentiality
