POSITION OVERVIEW

The Finance & Operations Coordinator plays a key role in supporting the smooth running of day-to-day business activities across operations, logistics, finance, and customer support. This position is responsible for managing staff accommodation and supplier relationships, overseeing equipment and vehicle administration, and ensuring efficient handling of staff and supplier queries. The role also supports financial processes, including expense review, invoice processing, and month-end reconciliation, while maintaining accurate records across multiple systems. In addition, the coordinator assists with customer account management, billing runs, and payment tracking, helping to ensure timely and professional service delivery. This position requires strong organisational and communication skills, a keen eye for detail, and confidence working across multiple finance and administration platforms.

RESPONSIBILITIES

Operations & Logistics


• Manage staff accommodation bookings, budgets, and supplier relationships.


• Oversee Starlink distribution, tracking, and equipment management.


• Administer vehicle insurance and manage consumables and office supplies.


• Handle reception calls, help desk tickets, and general staff support queries.

Finance Administration


• Review and process staff expenses and supplier invoices (Expend, iCompleat, Xero).


• Maintain accurate records for purchase orders, payments, and credit notes.


• Prepare reports and assist with month-end reconciliation.


• Support supplier onboarding and respond to finance-related queries.

Systems & Customer Support


• Manage Mobius billing runs, account updates, and customer communications.


• Process payments, chase outstanding balances, and escalate support issues.


• Maintain accurate financial and operational data across systems.


• Contribute to a safe and healthy workplace, in accordance with PMY's Occupational Health and Safety Policies and relevant legislative requirements.

QUALIFICATIONS & SKILLS


• Bachelor's degree in Business Administration, Finance, Operations Management, or a related field (or equivalent experience).


• Proven experience in operations coordination, office administration, or finance support roles.


• Experience managing supplier relationships, budgets, and logistics processes.


• Familiarity with financial systems such as Xero, iCompleat, Expend, or similar platforms.


• Experience handling invoices, expenses, and reconciliation processes is highly desirable.
