We are looking for a proactive and customer-focused Lettings Co-ordinator / PA to join a dynamic property team in London. This hybrid role blends residential lettings support with executive assistance, offering variety, responsibility, and the chance to make a real impact.

About the Role:

Approximately, most of your time will be spent supporting a residential lettings portfolio of around 400 units. The remaining will involve PA duties for two senior team members. You'll be the go-to person for tenancy progression, marketing coordination, and administrative excellence.

Key Responsibilities:

  • Manage AML/reference checks for new lettings transactions.
  • Progress tenancies: draft offer letters, contracts, arrange pre-tenancy works, and assist tenants with onboarding.
  • Coordinate property marketing: photos, floor plans, EPCs, brochures, and online listings.
  • Handle tenant deposit registrations, releases, disputes, and communications.
  • Conduct viewings and provide cover for lettings negotiators when needed.
  • Maintain accurate lettings records and documentation.
  • Provide diary management and meeting coordination for Directors.
  • Monitor team inboxes during leave periods and delegate tasks as needed.

What We're Looking For:

  • Proven experience in a customer-facing role.
  • Lettings experience preferred but not essential.
  • Strong administrative skills and computer literacy (Word, Excel, PowerPoint).
  • Excellent communication skills and a professional telephone manner.
  • Ability to manage multiple priorities with flexibility and focus.
  • A genuine interest in property and residential lettings.
