Key Responsibilities
- Assist with overall office management, ensuring a well-organized and efficient work environment
- Prepare, track, and manage purchase orders and other procurement documents
- Maintain high attention to detail when handling emails, written communications, and documentation
- Collect, review, and submit timesheets accurately and on schedule
- Coordinate with agencies, suppliers, and subcontractors to support daily operations
- Place orders for materials, equipment, or supplies as required
- Serve as the primary point of contact for routine administrative questions or requests
- Support scheduling, calendar management, and administrative workflows
- Organize and maintain digital and physical filing systems
- Assist with data entry, record keeping, and general administrative tasks
- Prepare written correspondence, reports, and documentation as needed
- Work collaboratively with team members to resolve issues and ensure tasks are completed efficiently
Skills & Experience
- Proven experience in an administrative or office support role
- Strong written and verbal communication skills
- Exceptional organizational abilities with a high level of accuracy
- Ability to multitask, prioritize, and meet deadlines
- Comfortable working with subcontractors, external vendors, and suppliers
- Proficiency with Apple technology (Mac, iPhone, iPad, iCloud, etc.)
- Strong email etiquette and experience managing high-volume inboxes
- Confident in working independently as well as part of a team
