Europcar is looking for a
Bid Manager

This is a hybrid role within the Commercial Department, working twice a week from the Leicester HQ office and the remaining time working from home. You will be required to attend meetings.

Main purpose of role:

We are seeking an energetic and creative individual to join our fast paced and dynamic sales team as a Bid Manager for the UK You will be responsible for developing relationships across key internal stakeholders both in the UK and across our wider International Group in support of our Bid activity.

You will lead and manage the creation and submission of winning Bids to secure new business or retain an existing client. You will oversee the entire Bid process, from opportunity identification through to final submission and sometimes even Post-Bid negotiations. You will be responsible for analysing Bids, coordinating internal stakeholder involvement, managing timelines, ensuring all submissions meet both the Bid requirements. You will be required to work collaboratively with the Sales team in the completion of Bids to achieve a successful award. These will be across our mobility solutions: Car, LCV, and Long Term Rental products and develop our Bid proposition to ensure that it remains aligned to the Group's mobility strategy. You will also monitor and track new Bid releases via the nominated online portals

Main duties of the role:

  • Manage the complete end to end Bid process of all sales opportunities including RFPs/RFQs/PQQs/ITT's
  • Align the Bid with business objectives, ensure win themes are clear, and manage cross-functional contributions (sales, finance, operations, legal, etc.).
  • Create and execute strategies for each Bid that align with Europcar's goals and meets the requirements of the client/prospect.
  • Shape the proposal to win through storytelling, value proposition, and differentiating from competitors.
  • Identify and address commercial and technical risks within proposals.
  • Completion of Pre-Bid or due diligence questionnaires and creation of Pre/Post Bid action plans.
  • Ensure Bids adhere to client requirements, regulations, and industry standards.
  • Effectively maintain tracker subscriptions and review daily/weekly tracker alerts to identify any potential Bids appropriate for car and/or van rental including long term rental.
  • Manage Bid Support inbox, providing timely responses to internal and external enquiries.
  • Identify potential opportunities and make recommendations to internal stakeholders.
  • Liaise with Account Directors, Business Development Directors and the Commercial
  • Management team and other areas of the business to develop responses that address the needs and priorities of the client whilst still aligning with our company strategy and making best use of our full mobility proposition.
  • Write and develop all submissions ensuring they are relevant, compelling, compliant and completed to an extremely high standard with a solution based focus. Proposing appropriate alternative mobility solutions for client consideration.
  • Maintain a tracker of all past, present and future Bids for deep dive analysis. These should be accurately recorded in Salesforce.
  • Work alongside our Marketing Team to develop sales material including corporate presentations in support of Bid submissions as well as cross/up selling opportunities.
  • Take full ownership of maintaining information in the department's knowledge base to provide an accurate and up to date single point of reference.
  • Support international RFPs/RFQs which have a UK inbound/domestic element to them.
  • Support our Operations colleagues with their Bid submissions and due diligence questionnaires.
  • Create, own and maintain a Bid library holding key company information.
  • Manage post-submission communication, negotiations, and ensure a thorough "lessons learned" process for continuous improvement.
  • Provide ad-hoc support to help enable the timely delivery of key initiatives and objectives and assist in the creation of internal business presentations and reporting. Cross train to support other departmental functions.

  • Have confidence to hold courageous internal conversations where appropriate to express your opinions and have the ability to articulate these.
  • Work with minimal supervision whilst using their own initiative and creativity - Be able to think outside the box and have a curious and proactive mindset.
  • Ability to plan, delegate, and manage multiple Bids simultaneously.
  • Strong understanding of commercial aspects to ensure profitability.
  • Excellent written and verbal communication skills to craft compelling proposals and liaise with diverse teams.
  • To bring vision, proactivity and fresh ideas that add value to our current proposition which challenges the status quo and informs future solutions.
  • Meticulous approach to ensure accuracy and compliance in all documentation.
  • Ability to prioritise and manage complex end to end processes and workloads in order to be able to meet tight deadlines and organise effectively in a fast paced environment.
  • Excellent literacy and numeracy skills are essential.
  • PC literacy in Google applications (Drive/Mail/Calendar), Microsoft Word, PowerPoint and Excel are essential. Experience in Salesforce or a similar CRM platform would be desirable.
  • Previous experience in Bid writing/management is essential and experience within the automotive rental or leasing market would be advantageous
  • A Sales-led or solutions-driven industry background where tailoring and competitive strategy are key would be advantageous.
