W are looking for an experienced Operations & Client Services Manager to become the steady pair of hands that keeps a busy financial services firm running like clockwork. If you're the person everyone relies on… the one who spots problems before they become problems… and you genuinely love building smooth, efficient processes — this is your perfect next step.

The Role

Reporting directly to the Managing Director, you'll lead an admin and client service function, support advisers and paraplanners, and ensure the back-office operations are watertight as the business continues to scale. You'll manage and develop a small team, refine and implement procedures, and keep the whole operation running efficiently — all while ensuring clients receive an exceptional experience.

What You'll Be Doing

Financial Services Administration

  • Supporting advisers and paraplanners across all financial planning activities

  • Maintaining client data and back-office systems (Enable experience highly desirable)

  • Preparing letters, valuations, templates, reports and client review packs

  • Managing adviser diaries and ensuring meetings are prepared well in advance

  • Communicating with clients, providers and internal teams

  • Submitting new business

  • Preparing files for compliance checks

  • Ensuring FCA standards and Treating Customers Fairly requirements are met

  • Delivering a warm, professional welcome to all clients visiting the office

  • Operational & Team Management

  • Overseeing workflow across the admin team

  • Designing, implementing and refining best-practice processes

  • Creating documented workflows for smooth onboarding and consistency

  • Leading and training administrators to deliver exceptional client service

  • Conducting regular 1-1s and identifying training needs

  • Supporting the MD with strategic and ad-hoc projects

About You

You'll thrive in this role if you have:

  • Strong recent experience in an IFA / Financial Planning / Wealth Management admin role

  • Proven experience leading or training admin teams

  • A track record of improving processes and operational efficiency

  • Immaculate organisation and attention to detail

  • Confidence with Microsoft Office, Voyant and FE Analytics

  • The ability to juggle multiple tasks without dropping the ball

  • A friendly, supportive approach with great communication skills

  • This role won't suit someone new to financial services admin — we need someone seasoned, confident and ready to lead.
