APA is a 'centre of excellence' in delivering professional qualification training courses in procurement and supply. We provide a mix of commercial courses and apprenticeships to adults of all ages from our base in Swindon and online.

We are expanding and we are looking for an organised individual to join our friendly team to coordinate the delivery of our courses. The role is initially a 6-month fixed term contract, however there is potential for the role to become a permanent position in the future.

Responsibilities:

Learner support and management

  • Provide the first point of contact for APA students and their employers regarding course organisation
  • Coordinate learner onboarding including running online meetings with new learners and providing them with joining information and instructions
  • Produce and distribute course timetables
  • Order and coordinate delivery of learning materials for students
  • Organise learner professional organisation membership

Tutor support

  • Work with tutors to coordinate and manage learner journeys
  • Assist with production and distribution of additional learning materials and wider learning programme resources to relevant students
  • Schedule additional tutorials and study sessions for individual learners and small groups
  • Coordinate online classroom services
  • Monitor inclusion & support plans for learners with additional needs

Exam coordination

  • Book exams for learners and coordinate any changes and deferrals
  • Request reasonable adjustments for SEND students
  • Support with exam delivery & invigilation in Swindon

Information management

  • Maintain the APA learner database
  • Work with the Operations Manager to develop and improve the learner database
  • Provide monthly reports from the database for the management team to track progress and attainment
  • Coordinate learner satisfaction surveys and learner feedback exercises to inform continuous quality improvement

Operations support

  • Assist with the creation of mock exams and courses using training provider software e.g. Onefile
  • Coordination with partners: CIPS, Department for Education, Ofsted regarding a range of operational issues
  • Assisting with providing information for compliance audits e.g. CIPS Audit, DFE audit and Ofsted inspections.
  • Assisting with the completion of tender documents and Supplier Vendor Requests documents

Other

  • Assisting with invoicing and funding applications
  • Support with basic accounts procedures such as account reconciliation
  • Office manager responsibilities including liaising with Learning Centre management company

Requirements:

  • Minimum 2 years of administrative experience (ideally in an educational environment)
  • Excellent organisation skills
  • Strong communication skills (written and verbal)
  • Attention to detail
  • Ability to work independently
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Experience with CRM systems and databases is preferred

Flexibility:

This role is predominantly remote, and with the requirement of just 25hrs per week, ideally split across 5 days, this position can easily fit within school hours or other commitments. There is a requirement to travel to Swindon (approx. once or twice a month) for team meetings and events including apprentice exams.
