Legal Executive Assistant

Iconic Resourcing are proud to be partnering with a leading professional services firm to recruit a
Personal Assistant (PA)
to support their busy Property & Infrastructure team based in Glasgow. This is a fantastic opportunity for an experienced PA or Executive Assistant who thrives in a fast-paced environment and enjoys providing high-quality administrative and organisational support. The successful candidate will play a key role in ensuring the smooth day-to-day running of the team, providing proactive and efficient PA, administrative and secretarial support to a group of fee earners.

Responsibilities will include:

  • Preparing accurate correspondence, documentation and presentations using MS Office and related software.
  • Managing diaries, meetings, travel and accommodation arrangements.
  • Supporting client and matter opening/closing processes and liaising with Finance and AML teams as required.
  • Monitoring and managing email inboxes and ensuring effective communication and follow-up.
  • Assisting with billing processes, including preparing invoices and managing client purchase orders.
  • Maintaining filing systems (electronic and paper) and ensuring accurate record-keeping.
  • Liaising with internal teams such as Finance, Facilities, IT and Marketing to support wider business needs.
  • Providing general administrative support to the wider PA group when required.

We're looking for someone who can bring:

  • Proven experience as a PA or Executive Assistant within a professional services or similar environment (ideally legal)
  • Strong organisational and multitasking skills with a keen eye for detail.
  • Excellent written and verbal communication skills.
  • Proficiency across Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • A proactive approach, with the ability to anticipate needs and prioritise effectively.
