Job Overview

Are you an organised and proactive coordinator looking to grow your career in the Fire industry? We are seeking a detail-oriented Fire Service Coordinator to join our team. You'll support the Fire, including reactive call-outs, ensuring efficient scheduling, coordination, and delivery of services to clients. Working closely with engineers, clients, and suppliers, you'll make sure all tasks and emergency call-outs run smoothly, on time, and within budget.

Key Responsibilities

  • Manage and coordinate Fire jobs and tasks from initiation to completion, ensuring all work is delivered on time and to the required standards.
  • Schedule and allocate work for engineers based on urgency, availability, and skillset.
  • Act as the primary point of contact for all Fire service inquiries from clients and suppliers.
  • Handle incoming reactive call-outs, assessing urgency and prioritising tasks accordingly.
  • Dispatch engineers efficiently to emergency call-outs, providing all necessary information and resources.
  • Track and record call-outs, ensuring requests are completed and documented within agreed timelines.
  • Liaise with clients to provide updates on task progress, ensuring satisfaction and resolving any issues promptly.
  • Provide accurate time estimates and communicate any delays or additional work required.
  • Coordinate resources with engineers, ensuring availability of tools, equipment, and materials.
  • Oversee procurement and supply of parts for installations, repairs, and emergency work.
  • Monitor stock levels, place orders, and maintain supplier relationships.
  • Prepare and maintain detailed job records, including job sheets, quotes, invoices, certificates, and warranties.
  • Process job requests and quotes, following up to convert into confirmed tasks.
  • Ensure compliance with health, safety, and industry regulations at all times.
  • Deliver excellent customer service throughout both planned and emergency works.
  • Resolve client complaints professionally to maintain satisfaction and repeat business.
  • Report job status, task progress, and any potential issues to the Operations Manager or senior team.

The Ideal Candidate Must Have:

  • Proven experience in a coordinating or administrative role (preferably within Fire, facilities management).
  • Strong organisational skills with the ability to manage multiple tasks and reactive call-outs simultaneously.
  • Excellent communication skills, both written and verbal.
  • Strong team player, able to work collaboratively across departments.
  • A proactive, solution-focused approach with strong problem-solving abilities.
  • High attention to detail and accuracy in scheduling, record-keeping, and reporting.
  • Confidence in working under pressure, prioritising effectively, and meeting deadlines.
  • Good IT literacy, including Microsoft Office Suite (Word, Excel, Outlook).

Desirable:

  • Previous experience in a coordination role within the Fire industry.
  • Experience managing reactive maintenance and emergency call-outs.
  • Background in customer service or client relationship management.
  • 22 days annual leave plus bank holidays
