Educational Farm Administrator

We are seeking a highly organised and proactive Office Manager/Administrator to join our
team at Edfords Care Farm starting January 2026. This role is throughout the academic year only.
This pivotal role ensures the smooth and efficient running of the farm administrative, financial, and educational operations.
As the central point of contact for visitors, commissioning parties, and staff, you will play a
key role in coordinating communication, maintaining accurate records, and supporting
compliance with safeguarding and data protection standards.
The role also involves managing invoicing, bookkeeping, and policy documentation, while
supporting the coordination of educational programmes and the tracking of student progress.
Working closely with commissioning bodies, education providers, you will help ensure a
high-quality and well-organised service for all participants.
Key Responsibilities
Administrative and Office Management
Oversee the day-to-day administration and smooth running of the care farm office.
Maintain efficient filing systems (both electronic and paper-based) to ensure
accuracy, confidentiality, and GDPR compliance.
Manage all incoming and outgoing correspondence, including emails, phone calls.
Schedule appointments, manage calendars, and organise meetings, and give tours of
new students.
Prepare and issue invoices to commissioning parties, schools, and funders in line with
placement agreements.
Monitor payments, reconcile accounts, and follow up on overdue invoices.
Student Coordination and Record Keeping
Liaise with commissioning parties, schools, and local authorities regarding student
placements, referrals, and progress.
Process and track referral forms, ensuring all required information and documentation
are received and stored appropriately.
Maintain accurate student records, attendance logs, and support plans.
Email daily attendance reports to commissioning contacts.
Track student progress and prepare summary reports for reviews and reporting
requirements.
Compliance and Policy Management
Ensure all organisational policies and procedures are regularly reviewed, updated, and
implemented effectively.
Support compliance with safeguarding, data protection, and health & safety
regulations.
Assist management in preparing for audits, inspections, and external reviews.
Maintain secure and confidential storage of all records and sensitive information.
Communication and Coordination
Act as a central point of contact between Edfords Care Farm, external agencies,
parents/carers, and commissioning bodies.
Facilitate effective internal communication by distributing updates, scheduling team
meetings, and coordinating training sessions or events.
Person Specification
Essential:
Proven experience in office management or administrative roles, ideally within
education, social care, or a related field.
Strong organisational and time management skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Demonstrated ability to handle confidential information with discretion and
professionalism.
Familiar with Google docs, Word, Excel
Ability to work independently, prioritise effectively, and contribute as part of a small,
committed team.
Desirable:
Experience liaising with commissioning bodies, schools, or local authorities.
Knowledge of safeguarding, data protection, and care sector compliance.
Experience in financial administration, including invoicing or bookkeeping.
An interest in outdoor learning, therapeutic farming, or alternative education.
