The post holder will contribute to the smooth running of the day-to-day responsibilities of the School Office of London Contemporary Dance School as a critical part of the Administration Team across the school year, with a key focus on student attendance monitoring, while further developing administrative skills in Higher Education for a busy arts and higher education organisation.
They will be required to operate autonomously across the spectrum of school administrative operations, working on certain projects and areas of administration where they will be directly managed by different members of the School Office team.
SALARY & CONTRACT TERMSSALARY
The salary for this position is £29,384 per annum.
Salaries are reviewed in August each year when any cost-of-living increases are made. No salary changes are made until after successful completion of a probationary period.
CONTRACT TERMSThis is a 12-month, fixed-term contract. This is a full-time position (equivalent to 40 hours per week). These hours are inclusive of a one-hour paid lunch break each day. Your hours of work will be agreed with the line manager.
Whilst in the six-month probationary period the notice period will be two weeks. Once this period is successfully completed the post holder will be confirmed in the post and the notice period will be six weeks.

KEY RESPONSIBILITIESATTENDANCE ADMINISTRATION
- Maintain up to date records of student attendance, including sending out daily absence reports to faculty members.
- Monitor student attendance data, producing weekly reports on attendance levels and helping support conversations at faculty meetings around attendance.
- Working with the Director of Student Lifecycle and Well-Being, Year Group Coordinators and Course Leaders to flag attendance concerns, including contacting and tracking students with low attendance.
- Produce and maintain daily class registers for faculty members.
- Updating and maintaining the Learning Agreement overviews.
ADMINISTRATION
- Respond to enquires in the general enquiry email inbox, forwarding questions on to relevant staff where appropriate, and provide information regarding admissions and course content.
- Assist with the production and distribution of student ID cards.
- Process Student Oyster cards applications and record transactions as required by Transport for London regulations.
- Respond to student letter requests producing standard documents confirming student status for agencies including banks, local councils, landlords/managing agents, etc.
- Set up and assist with the maintenance of student email accounts, distribution groups and Google Classrooms and Padlet.
- Support the day to day running of the Virtual Learning Environment (Google Classrooms), including responding to users, by providing advice, guidance and training to staff and students as required.
- Assist the Head of Registry and Quality with the production of the weekly Student Newsletter.
- Provide administrative support for faculty and Senior Management Team members as appropriate and reasonable. This may include diary coordination and room bookings for meetings.
- Supporting with administration of the Summer School, e.g. publishing timetable, preparing certificates.
- Consult with Communications department and SMT to agree merchandise to be purchased on demand online.
Supporting the Assessment and Quality Officer to:
- Prepare course documentation for academic programmes (assessment and report forms etc).
- Supported by the Assessment & Quality Officer, ensure the collection and secure record keeping of all assessment marks and release feedback and marks to students by given deadlines.
- In line with the validating universities' procedure, produce transcripts and confirmation of study letters for alumni.
- Log and process resubmission marks.
- Create Google Classrooms submissions links for assessment.
- Support student accounts on Padlet in support of assessment submissions.
- Assist the Assessment & Quality Officer with the production of transcripts for the School's Exchange and Study Abroad students, in line with partner colleges' procedures, ensuring for example that the student has met attendance and credit requirements.
- Maintain accurate electronic and hard copy student records with due regard to GDPR.
- Maintain the archiving procedures of student and alumni records.
ACADEMIC ADMINISTRATION
- Publishing the weekly timetable on Google Classrooms and the notice board, ensuring any updates are promptly communicated.
- Record and administrate student options and group lists once finalised by Year Group Coordinators, Course Leaders and Unit Leaders.
- Supported by the Space, Timetable and Staff Administration Coordinator, coordinate the allocation of evening and weekend student rehearsal space.
- Assisting the Assessment and Quality Officer with facilitating the activities of the Student Societies, particularly in terms of space and budget allocation, using a checklist to ensure compliance procedures are followed.
ADMISSIONS & REGISTRY ADMINISTRATION
- Assist the Admissions and Registry Manager with the registration and re-registration of students on a termly basis, including inputting data provided by students (contact details, doctors and next of kin, etc.) and ensure this is kept updated throughout the year.
- Organise and record photos of new incoming students and staff and maintain on relevant databases.
- From time to time, assist in processing online applications at peak times as required, including entering student data as appropriate (including reference and confirmation forms).
- From time to time, assist with the undergraduate and postgraduate admission days as required.
- Collate information about alumni activities shared on Teams channel.
INTERNAL COMMITTEES
Take minutes at weekly Faculty and LCDS team meetings, including the Student Support Team meetings, as required and update collated actions.
GENERAL- Contribute effectively to other School Office activities in times of high demand, and cover School Office presence by proactive planning, prioritising workload and demonstrating flexibility.
- First Aid responsibility as part of the School Office team.
- Answer telephones, deal with enquiries (including shared inbox), welcome visitors, conduct tours, general student and staff administration (e.g. Letters, etc.).
Any other duties that may be reasonably requested by the Head of Registry and Quality.
