Security Contract Administrator

Purpose of the Role
To support a large and diverse security team across all sites within the Client's iconic estate, from the world-class sporting venue with private members' tennis club, to the outer sites encompassing community sports facilities and locations for pre-Championships qualification. The successful candidate will bring energy, enthusiasm, curiosity, and integrity to the role.
The Security Contract Administrator is responsible for supporting the Security Account Manager in coordinating all aspects of daily staffing operations, resourcing, scheduling, and employee payroll/HR administration and will play an integral part in the Contract Management Team.
To ensure compliance with contractual and legal obligations and regulatory standards, accurate record-keeping/data management/GDPR, and will act as the primary point of contact in relation to all staffing/administrative issues and queries smooth communication between Clients, Internal Stakeholders and Contract Security staff.
In addition to year-round operations, the Security Contract Administrator will play a key role in supporting the delivery of the annual Championships operation, held over a two-week period from late June to mid-July. They will oversee recruitment, onboarding and vetting process for all required short-term staff with assistance from Head Office resourcing team and a dedicated fixed-term Championships resource administrator.
Key Responsibilities
- Maintain accurate records relating to all sites across the Client's estate.
- Monitor contract performance against agreed KPIs and SLAs, escalating issues where necessary, and compile all relevant data (official complaints, dropped service hours, Supplier Reports – both positive and negative etc.) for monthly reports.
- Liaise with Clients, Contract Management, and internal stakeholders to coordinate service delivery and resolve queries.
- Assist in scheduling and coordinating security personnel for contracted sites, including ensuring all additional and ad hoc Client events are adequately staffed and invoiced.
- Lead on 'Business as Usual' recruitment and vetting and assist with Championships resourcing
- Prepare regular reports on contract status, performance metrics, and compliance.
- Maintain confidentiality and data protection standards in all administrative processes.
- Support audits, inspections, and compliance checks as required.
- Support Security Contract Management Team at meetings by taking minutes as required.
- Contribute to continuous improvement initiatives as required.
Working Hours
- Full-time, site-based
- Business-as-usual: 40 hours per week, Monday to Friday, 09:00–17:00
- Flexibility required for operational needs
- Extended hours during Championships period (late June to mid-July)

- Salary: £30,000 (with increase to £35,000 following successful 6-month probation)

Essential Criteria
Qualifications & Knowledge
- Strong administrative background, ideally within security, facilities, or contract management.
- Good understanding of compliance requirements (SIA, GDPR, Health & Safety, employment law).
Experience
- Proven experience in contract administration, scheduling, or workforce management.
- Experience liaising with clients and internal stakeholders.
Skills
- Excellent organisational and time-management skills.
- Strong IT literacy (MS Office, scheduling/rostering software, databases).
- Clear written and verbal communication skills.
- High attention to detail and accuracy.

Desirable Criteria
- Valid SIA licence (DS, with CCTV a bonus)
- Experience of working on AELTC contract, preferably on Year-Round team, but also Championships
- Knowledge of payroll and invoicing processes.
- Formal training in administration, project management or similar.
