About Us

We're Gruum – a growing UK-based brand bringing simplicity, sustainability, and great design to everyday personal care. We're a close-knit, friendly team that values initiative, creativity, and collaboration. As we continue to grow, we're looking for a talented Administration and Office Executive to play a key role in keeping our operations organised and efficient across finance, logistics, and day-to-day office management.

The Role

This is a dynamic and varied position that combines administrative expertise with hands-on operational support. You'll be central to the smooth running of our business — supporting management, coordinating the office, and assisting with finance and supply chain functions.

Your work will directly contribute to the efficiency of our operations, from bookkeeping and stock coordination to maintaining supplier relationships and ensuring everything runs seamlessly behind the scenes.

We offer flexible working hours to suit the right candidate — either shorter school-friendly hours (9:30am–2:45pm) or standard full-time hours (9:00am–5:30pm), Monday to Friday.

Key Responsibilities

· Oversee and coordinate the day-to-day running of the office.

· Manage correspondence, post, and general enquiries.

· Support senior management with diary scheduling, meeting coordination, and travel arrangements.

· Assist with bookkeeping tasks, including processing invoices, reconciling expenses, and maintaining accurate financial records.

· Support supply chain administration, including order processing, supplier communication, and inventory tracking.

· Maintain office supplies, contracts, and supplier relationships.

· Coordinate internal communications and company events.

· Ensure compliance with health & safety and company policies.

· Provide ad-hoc administrative and project support across departments.

About You

You're an organised, proactive, and adaptable professional who enjoys taking ownership of varied tasks. You'll thrive in a fast-paced environment and take pride in supporting both people and processes that keep the business running smoothly.

Essential skills and experience:

· Proven experience in administration, office management, or operations support.

· Excellent organisational skills with strong attention to detail.

· Confident using Microsoft Office and general IT systems.

· Positive, can-do attitude with a proactive and collaborative approach.

Desirable:

· Experience in supply chain or logistics administration.

· Familiarity with accounting software (e.g., Xero, QuickBooks, or similar).

· Experience working in a small business or fast-growing brand.

· Interest in sustainability and ethical consumer products.

Why Join Gruum

· Be part of a creative, fast-growing company with a strong ethical purpose.

· Friendly and supportive team culture.

· Opportunities for personal growth and career development.

· Staff discounts and regular team events.

· Flexible working hours to support a positive work-life balance.
