Veterinary Receptionist – Full-Time (40 Hours per Week)

Permanent Position (subject to successful probation)

We are looking for a highly motivated individual who can work both independently and as part of a supportive and dedicated team.

Role Details:

  • Full-time: 40 hours per week
  • Typical shifts: 8:30am – 7:00pm, 4 days per week (subject to business needs)
  • Weekend and bank holiday work required on a shared rota basis
  • Flexibility is essential – this role will involve working across our southern sites (Consett, Eden Hill, and Houghton-le-Spring)

Experience:

  • Veterinary experience is not required – full training will be provided

Key Responsibilities:

Client Communication & Customer Service:

  • Greet clients and their pets in a warm, professional manner.
  • Answer phone calls, respond to emails, and handle client inquiries.
  • Schedule and confirm appointments for consultations, procedures, and surgeries.
  • Provide basic information on services, pricing, and pet care guidance.

Administrative & Clerical Duties:

  • Maintain accurate client and pet records using practice management software.
  • Process payments, issue invoices, and handle financial transactions.
  • Assist with insurance claims and required documentation.
  • Ensure the reception area is clean, organized, and welcoming.
  • Check GDPR compliance to ensure all client and patient records are properly stored and handled.

Debt Collection & Management:

  • Monitor and follow up on outstanding invoices.
  • Contact clients to arrange payment for overdue accounts.
  • Maintain and update the debt list, ensuring records are accurate and up to date.
  • Escalate unresolved debts according to practice policies.

Pharmacy & Dispensing Assistance:

  • Prepare and dispense medications under veterinary supervision.
  • Ensure correct labeling and documentation of prescriptions.
  • Provide clients with basic medication instructions as directed by the veterinary team.
  • Monitor stock levels and notify the team when supplies need replenishing.

Cleaning & Hygiene Maintenance:

  • Ensure reception and waiting areas are kept clean and sanitised.
  • Assist in cleaning consultation rooms and equipment after appointments.
  • Maintain hygiene standards in high-contact areas to promote a safe environment for clients and pets.

Animal Handling & Support:

  • Assist with safely restraining pets during examinations or minor procedures if required.
  • Help monitor and comfort nervous or anxious animals in the waiting area.
  • Support the veterinary team with moving or positioning animals when needed.

Skills & Qualifications:

  • Strong customer service and communication skills.
  • Ability to multitask in a fast-paced environment.
  • Basic knowledge of veterinary terminology and medication (preferred but not required).
  • Competence in using computer systems and scheduling software.
  • Attention to detail and ability to handle sensitive information with confidentiality.
  • Comfortable working around animals of all sizes and temperaments.
