Job Purpose
We are seeking a proactive and personable Receptionist/Facilities Administrator to be the welcoming face of our organisation and a key support to our facilities operations. This dual role is ideal for someone who enjoys variety, thrives on organisation, and takes pride in creating a positive and efficient working environment.
Key Responsibilities
Reception Duties
- Greet visitors and staff in a professional and friendly manner.
- Manage incoming calls, emails, and post, ensuring timely and accurate distribution.
- Maintain the reception area to a high standard of cleanliness and presentation.
- Coordinate meeting room bookings and assist with hospitality arrangements.
- Issue visitor passes and ensure compliance with security procedures.
Facilities Administration
- Support day-to-day facilities operations, including office maintenance, supplies, and contractor coordination.
- Monitor and replenish office supplies, stationery, and kitchen stock.
- Assist with health and safety checks, reporting issues and ensuring compliance.
- Maintain accurate records of facilities-related activities and documentation.
- Liaise with external suppliers and service providers as required.

KNOWLEDGE, TRAINING, QUALIFICATIONS AND EXPERIENCE REQUIRED TO DO THE JOB
Essential
- Previous experience in a receptionist or administrative role.
- Excellent communication and interpersonal skills.
- Strong organisational skills and attention to detail.
- Proficient in Microsoft Office (Outlook, Word, Excel).
- Ability to multitask and prioritise effectively.
Desirable
- Experience in facilities or office management support.
- First Aid or Fire Warden training (or willingness to undertake).
