Job Purpose
We are seeking a proactive and personable Receptionist/Facilities Administrator to be the welcoming face of our organisation and a key support to our facilities operations. This dual role is ideal for someone who enjoys variety, thrives on organisation, and takes pride in creating a positive and efficient working environment.

Key Responsibilities
Reception Duties

  • Greet visitors and staff in a professional and friendly manner.
  • Manage incoming calls, emails, and post, ensuring timely and accurate distribution.
  • Maintain the reception area to a high standard of cleanliness and presentation.
  • Coordinate meeting room bookings and assist with hospitality arrangements.
  • Issue visitor passes and ensure compliance with security procedures.

Facilities Administration

  • Support day-to-day facilities operations, including office maintenance, supplies, and contractor coordination.
  • Monitor and replenish office supplies, stationery, and kitchen stock.
  • Assist with health and safety checks, reporting issues and ensuring compliance.
  • Maintain accurate records of facilities-related activities and documentation.
  • Liaise with external suppliers and service providers as required.

KNOWLEDGE, TRAINING, QUALIFICATIONS AND EXPERIENCE REQUIRED TO DO THE JOB
Essential

  • Previous experience in a receptionist or administrative role.
  • Excellent communication and interpersonal skills.
  • Strong organisational skills and attention to detail.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Ability to multitask and prioritise effectively.

Desirable

  • Experience in facilities or office management support.
  • First Aid or Fire Warden training (or willingness to undertake).
