Professional financial services practice seeking an efficient administrator to join the team, offering close support to the Operations Manager and other staff members. This is a vital role for somebody with first class organisational skills and candidates with or without financial services experience will be considered.

Duties include:

  • Close support to Operations Manager
  • Managing and delivering the monthly invoicing process including proficient use of excel for creating invoices, liaising with advisers and issuing to clients
  • Managing and reconciling the cashbook
  • Learning and using QuickBooks and pulling information to send to accountants re our quarter, half and yearly figures
  • Processing and Management of incoming and outgoing post
  • Management and orderingof office suppliese.g., stationery, kitchenand bathroom supplies
  • Organising client birthdaypresents
  • Arranging client meetingsand meet and greet on the day
  • Managing incoming calls
  • Using internal softwareto gather clientdata and advisercharging data
  • General office management tasks e.g., openingup, ensuring officeis tidy and in good order, sorting repairs, liaising with landlords as needed, shredding of client sensitive data
  • Organising company Summerand Christmas party (and otherad-hoc events)
  • Liaising with other professional firms to arrangeget-togethers
  • Oversight of companycalendar
  • Wider awareness/thinking: Spottingissues/opportunities and raisingappropriately

Ad-Hoc Client Specific work as required:

  • Creating and issuingLetters of Authority
  • Communicatingwith providers
  • General cover lettersto clients
  • Change of addressletters
  • Getting valuations online/over the phone
  • Setting up clientson Prestwood and creating diaryentries
  • Observe the firm's'standards'
  • Comply with FCA conduct rules at all times
  • Adhere to the relevant compliance, TCF, T&C, Consumer Duty and financial crime (anti- money laundering, data security, anti-bribery, fraud, and corruption) procedures of the firm at all times.
  • Be a team player, supportcolleagues, willing to go the extra mile
  • Willing to pick up other ad-hoc tasks which might not fall into the usual remit of the role

Skills required:

  • Well spoken, articulate, professional – able to liaise well at all levels
  • Well presented
  • Keen and interested in financial services, industry knowledge desirable but not essential
  • Local to Farnham
  • A willing and keen team player, willing to take on a variety of tasks
  • Confident telephone manner
  • Able to prioritise tasks
  • Competent IT skills

Additional information:

  • 100% office based, Farnham
  • 8.30-5pm, Monday to Friday
  • £22,000-30,000 (for higher end of the salary, candidates would need to have experience of working in a similar role)
