Deputy Practice Manager

Job Description and Person Specification

Job Summary:

The role of the Deputy Practice Manager requires a self-motivated, disciplined individual to take ownership of the day-to-day running of the practice, supporting the Practice Manager by completing delegated tasks and responsibilities.

The postholder will provide strong leadership within Primary Care, demonstrating excellent people management and organisational skills to help drive the practice forward.

Main Duties and Responsibilities

Operational Management

  • Take responsibility for the management and supervision of the Reception team.
  • Support the Practice Manager in all aspects of HR administration.
  • Oversee premises management, including maintenance, cleaning, and utilities.
  • Assist the Practice Manager and Senior Partner with Health & Safety compliance for staff, patients, and premises.
  • Support the Practice Manager in the production of patient communications, including quarterly newsletters and coordination of the Patient Participation Group (PPG) and minute taking.
  • Support the Practice Manager and Partners in maintaining compliance with CQC regulations and requirements.
  • Provide cover for the Practice Manager during periods of absence, ensuring continuity of service.
  • To cover the financial aspects in the absence of the Practice Manager, ensuring the smooth and efficient running of the business
  • Work with the Rota Administrator to maintain an efficient appointment system.

COVID-19 and Flu Vaccination Programmes

  • Assist in the operational and strategic delivery of the COVID-19 and Flu vaccination programmes on behalf of the practice.
  • Coordinate logistical planning, including site preparation, staffing, vaccine delivery, storage, clinic reporting, and quality assurance.

Staffing and People Management

  • Support, evaluate, and coordinate staff induction processes.
  • Monitor and track mandatory training for all staff, ensuring completion and compliance.
  • Support the Practice Manager in planning and coordinating recruitment, induction, and training for new staff.
  • Monitor staff annual leave and sickness absence, ensuring adequate staffing levels are maintained.

Organisational Responsibilities

  • Prepare agendas for practice meetings, take minutes, and ensure timely distribution.
  • Maintain confidentiality at all times in accordance with GDPR and practice policies.
  • Demonstrate flexibility and willingness to adapt to changes in the needs of the practice.

Person Specification Criteria

Essential

Experience working within Primary Care

Some leadership or supervisory experience

HR experience including appraisals and staff training

Desirable

Experience managing a small team

Experience in a GP Training Practice

Knowledge of HR policies and procedures

Skills & Competencies

Strong IT skills, including MS Office

Experience using SystmOne

Excellent communication skills (verbal, written, and electronic)

Experience producing reports or newsletters

Ability to work well under pressure in a fast-paced environment

Problem-solving and decision-making skills

Strong organisational and time management skills

Personal Attributes

Professional, approachable, and flexible

A proactive attitude and willingness to learn

Ability to lead by example and promote teamwork

Interest in quality improvement or service development
