The People Services Coordinator is a key operational role with the People team at Multiverse and is centred on the seamless execution of our People Services function through the effective use of our HRIS (HiBob) and our People ticketing system. As People Services Coordinator you will manage essential administrative and compliance processes, including benefit administration and background checks, while actively partnering with wider People & Talent teams to drive continuous improvement and execute scalable workflows.

Roles & Responsibilities

  • Employee lifecycle: support and execute core People processes across the full employee lifecycle, including onboarding, offboarding, and cyclical processes like Performance and Pay Reviews. Ensure the timely, accurate, and empathetic resolution of all employee enquiries whilst driving a culture of self-service where appropriate.

  • People ticketing system: take full ownership of People tickets ensuring adherence to service level agreements (SLAs). Support the analysis of trends in ticket data to identify recurring issues and contribute to a continuous improvement backlog for the People Services team.

  • HRIS (HiBob) management: uphold rigorous data quality and integrity standards to ensure all People data within HiBob is accurate and the system remains the source of truth for People data at all times. This includes supporting the accurate and timely flow of all employee data that impacts payroll and benefits.

  • Benefit administration: manage the administration of all employee benefits across Multiverse, working with external suppliers where appropriate.

  • Background checks: take ownership of the background checking process for Multiverse, ensuring the requirements for areas of compliance are clearly documented and comply with relevant UK regulations e.g. Safer Recruiting and Ofsted guidance.

  • Employee relations: support the People Performance Manager with tier one employee relations with a particular focus on family leave e.g. maternity, paternity, shared parental and adoption leave.

  • Partnership & collaboration: partner with teams across the business, such as the People Performance, Talent and People Business Partner team, to support the execution of efficient, scalable People projects and workflows.

  • Continuous improvement: work with the wider People Services team to make continuous improvements aligned with business needs and based on People Services data.

Skills & Experience

  • 2-3 years of experience in a People / HR role, ideally with a track record of supporting high-growth organisations.

  • Hands-on experience with a major Tier-1 HRIS (HiBob is strongly preferred), including data entry and use of core modules.

  • Hands-on experience using an HR ticketing system is advantageous.

  • Exceptional attention to detail

  • Excellent communication and stakeholder management skills, with a proven ability to collaborate effectively with partners across a diverse organisation.

  • Experience working in a regulated education environment and successfully adhering to strict compliance measures is advantageous.

  • Experience handling payroll and benefits-related employee data, ensuring a seamless and accurate flow of information.

  • Proven ability to manage multiple priorities in a fast-paced, scaling environment.

  • A healthy curiosity for emerging technologies, including AI-powered HR tools.

Measuring Success in This Role

  • Within 3 months, you will have a full understanding of our current People Services and operational processes, have identified key pain points, and established strong relationships with the wider People & Talent team and key stakeholders across the business.

  • Within 6 months, you will have contributed to the People & Talent roadmap and delivered initial "quick win" improvements to our support ticketing process and other core operational workflows.

  • Within 12 months, you will have successfully supported key projects from the roadmap, contributing to significant system and process enhancements. You will have demonstrably improved key operational KPIs (e.g., ticket resolution time, new hire onboarding satisfaction) and enhanced the data-driven reporting cadence and integrity for the People & Talent team and the wider business.
