Location: Hybrid – remote working, client sites, and company workplace in Twickenham.

The Role
We're looking for a talented Executive/Personal Assistant to provide exceptional business and personal support to a portfolio of clients. You will be the person they trust to manage their day-to-day affairs — from diary management and travel arrangements to event coordination, project support, and household administration.
You will be joining a forward-thinking business that values initiative, adaptability, and meticulous attention to detail. You will work part-time on shift patterns (typically weekday evenings 4–8pm and weekends between 8am–8pm) with flexibility for additional hours and holiday cover as required.
This is a hands-on, varied, and rewarding role, offering exposure to multiple industries and clients.
Key Responsibilities listed below but are not limited to the below
Executive & Business Support
Manage clients' calendars, appointments, and scheduling for meetings, events, and business travel
Prepare and manage online banking, invoices, and reconciliations, working closely with accountants to ensure accuracy and documentation compliance
Proofread correspondence and documents to maintain high professional standards and ensure accuracy and attention to detail
Handle confidential information with absolute discretion and integrity
Maintain data entry systems, backups, and organised filing structures for documents and digital assets
Prepare and submit expense reports, carry out basic bookkeeping, make payments, and manage invoicing processes
Research information, vendors, and opportunities to support client projects and business growth
Act as the first point of contact between clients and partners, ensuring efficient and professional communication
Personal Assistant Duties
Manage personal administration including car tax, MOTs, insurances, Private memberships, and household logistics
Oversee property management and maintenance; liaise with contractors, security, and household staff (housekeepers, chef's, gardeners, chauffeurs)
Coordinate social and business engagements, events, and private appointments
Handle personal errands and ad-hoc tasks with efficiency and confidentiality
Travel, Events & Projects
Organise travel logistics including flights, accommodation, ground transport, and itineraries
Research and book venues and offices for meetings, events, concerts & retreats
Join select events to support set-up, timings, and client or guest experience
Experience & Skills Required
Minimum 4+ years' experience as an Executive Assistant / Personal Assistant or in a similar role
Experience in customer service, providing outstanding support to clients and stakeholders
Strong proficiency in Mac OS, with working knowledge of Microsoft Office Suite and Google Workspace
Sound understanding of Excel, Word, and digital tools for task management and collaboration
Proficiency in social media platforms (LinkedIn, Instagram, Facebook, X/Twitter); basic digital marketing/social media knowledge is advantageous
Exceptional attention to detail with the ability to deliver precise, accurate, and high-quality work
Excellent organisational and multitasking skills, with a structured and proactive approach to complete tasks in an efficient manner
Strong communication skills – both written and verbal – with an excellent command of English
Numerate, analytical, and confident managing administrative and financial processes
Highly trustworthy, dependable, and discreet when handling sensitive information
Proactive, resourceful, and solution-focused – able to work on your own initiative
Positive, professional, and calm under pressure
Flexible and adaptable to changing priorities in a fast-paced environment
Enthusiastic about learning, growth, and continual improvement
Own car and willingness to travel occasionally (advantageous but not essential)
