The Role:
We are seeking a proactive and adaptable Legal Secretary to join our team on a fixed-term contract for 7 months, reporting directly to one of our Divisional Secretarial Service Managers. This role is pivotal in supporting designated Principals and providing ad hoc cover for Partners and Counsel.
You will be responsible for delivering comprehensive legal secretarial support, using the most effective tools and resources to meet deadlines and maintain high standards. The role requires a forward-thinking approach, with a focus on anticipating the needs of clients and colleagues, contributing to continuous improvement, and ensuring seamless billing support.
Your Key Responsibilities
Provide comprehensive legal secretarial support to designated Counsel and Principals, including ad hoc cover for Partners, ensuring seamless service delivery across the team.
Manage complex diaries by scheduling meetings, conference calls, and travel arrangements, anticipating needs and proactively resolving scheduling conflicts.
Monitor and manage email correspondence, prioritising urgent matters, drafting responses, and ensuring timely follow-up on key communications.
Coordinate domestic and international travel logistics, including booking flights, hotels, taxis, and preparing itineraries and documentation for legal trips.
Maintain accurate client records using Client Book and Introhive (Salesforce-integrated platforms), supporting effective client relationship management and communications.
Support billing and financial hygiene processes, including WIP reviews, fee updates, debt monitoring, and ensuring compliance with client billing guidelines using tools like NIM and Intapp Time.
Produce and amend legal documents, presentations, and spreadsheets using Microsoft Word, PowerPoint, and Excel, ensuring accuracy and adherence to firm standards.
Assist with internal and external events, including away days and conferences, by preparing materials, coordinating logistics, and supporting delivery across formats (in-person, video, or phone).
Act as a key communication liaison, handling internal and external queries, managing confidential data, and building rapport with clients, colleagues, and secretarial teams.
Contribute to process improvement and team success by identifying opportunities to streamline workflows, supporting ad-hoc projects, and collaborating with other legal secretaries as needed.
What we're looking for:
Proven experience as a Legal Secretary, PA or Senior Administrative Assistant within a fast-paced professional services or corporate environment, ideally with a minimum of three years in a similar role.
Strong organisational skills with the ability to manage multiple tasks, prioritise effectively and remain calm under pressure.
High level of IT proficiency, particularly across Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and knowledge of GenAI tools is desired.
Excellent communication and interpersonal skills, with a professional telephone manner and the ability to build strong working relationships at all levels.
Confident in diary and document management, billing support, and using systems such as ServiceNow; familiarity with SAP, Introhive, NIM, iManage and intranet tools is desirable.
A proactive, flexible and collaborative approach, with strong attention to detail, sound judgement and a commitment to maintaining confidentiality.
Minimum A-Level or equivalent, including a GCSE in English and Maths
