Part of the EFS Group, we are a well established Haulage company based in Heathfield, East Sussex working with the UK's most successful network, Palletways. ILS Ltd are one of the largest pallet delivery companies in Kent & East Sussex, collecting & delivering over 600 pallets a day.

Due to growth, we are currently recruiting for a Senior Transport & Compliance Administrator, to join our dedicated and experienced team.

This is a key role within the transport department, ensuring that all fleet operations run efficiently, safely, and in full compliance with current legislation. You'll play a vital part in maintaining high standards across our transport function, supporting drivers, liaising with external partners, and ensuring that compliance records are always up to date.

Key Responsibilities

  • Oversee and maintain all transport compliance documentation, including operator licence, driver files, vehicle records, and tachograph data.
  • Monitor driver hours, infringements, and working time compliance using telematics or fleet management systems.
  • Coordinate vehicle maintenance schedules, MOTs, inspections, and servicing to ensure full compliance and minimal downtime.
  • Conduct regular audits of transport documentation and processes to ensure compliance with DVSA and internal standards.
  • Support with investigations, accident reporting, and disciplinary procedures related to fleet or driver conduct
  • Maintain close communication with drivers to ensure adherence to company policies and safety regulations.
  • Produce accurate reports on compliance performance, fleet utilisation, and key performance indicators (KPIs).
  • Assist with continuous improvement initiatives across transport and logistics operations.
  • Provide administrative support to the wider transport team, ensuring smooth day-to-day operation of the department.

Skills & Experience Required

  • Proven experience in a transport administration or compliance role
  • Strong working knowledge of transport legislation, drivers' hours, and vehicle compliance.
  • Excellent organisational and communication skills with high attention to detail.
  • Strong IT literacy (Microsoft Office, Excel, databases).
