Oxford and Birmingham
, so any of these locations would be ideal.
You'll work closely with our Talent Acquisition Specialists and Advisors, supporting them throughout the entire recruitment process and ensuring every candidate has an exceptional experience. Your main tasks will include coordinating job advertisements, screening and shortlisting candidates, and arranging interviews. You'll be the consistent point of contact for candidates, directly influencing how they perceive us as a potential employer.
This role is crucial to our business, and you'll be an integral part of the Talent Acquisition team.
What you need to do to be effective in this role
- Support hiring managers in raising offer requests within our Applicant Tracking System (ATS), Networx.
- Submit offer requests for approval by the relevant parties, including collating the requests for the Head of Talent Acquisition to gather approval from our Executive Partners.
- Proactively track and chase offer approvals to ensure efficiency, enabling us to secure our new starters.
- Progress offers through our ATS, completing various milestones to issue the offer details to new starters.
- Proactively track, coordinate and oversee each individual offer process, chasing for various items as required.
- Coordinate the onboarding process, including reference checks, right to work verification (via Experian) and pre-employment screening where required.
- Support the Talent Acquisition Specialists with skilled worker visa applications and payments.
- Ensure timely and accurate communication with new starters, internal stakeholders and external agency partners (where appropriate).
- Migrate new starter data from our ATS to the HR Information System (HRIS), along with relevant starter documentation, ensuring accurate records are maintained at all times.
- Raise new starter IT requests for each new starter, providing ample notice to our technology team.
- Support our Talent Acquisition Advisors with interview arrangements - gathering availability from candidates and hiring managers, scheduling in-person and invitations via the ATS, booking meeting rooms and generally supporting logistics. Also supporting assessment centre arrangements for our future talent intake.
- Raise purchase orders for recruitment-related costs. Track and process invoices, ensuring timely payment and accurate reconciliation to support the Head of Talent Acquisition with finance reporting.
- Manage our central recruitment mailboxes, responding to messages and forwarding to relevant parties.
- Be a "super user" within our ATS, Networx, improving usability and functionality for our business users.
- Represent our brand and be a collaborative member of the Talent Acquisition team.
- Provide cover for other members of the Talent Acquisition team when required - for holiday and other leave - ensuring that we maintain a consistent experience for candidates, managers and agency partners.
- Actively participate in and support Talent Acquisition and People team projects and initiatives.
The skills and experience you'll need to be effective in this role
- A passion for delivering a high-quality candidate and hiring manager experience, representing our employer brand with professionalism and care.
- Previous experience in a recruitment coordinator or a HR administration role, ideally within a fast-paced, multi-stakeholder environment.
- Excellent organisational skills with the ability to track and oversee multiple offer processes simultaneously, ensuring accuracy and efficiency at every stage.
- Strong communication skills, with the ability to liaise professionally and at volume with new starters, hiring managers, agency partners, and internal teams.
- Ability to work at pace and handle high volumes, including an ability to be agile. to support our team with changing priorities and demands.
- Strong working knowledge of UK Right to Work legislation, including visa sponsorship.
- An ability to maintain confidentiality and discretion.
- Understanding of the full recruitment lifecycle and how coordination supports strategic hiring goals.
- IT confident, with Microsoft Office packages, as well as bespoke systems - our ATS is provided by Networx, which directly links to IRIS Cascade, our HRIS. Previous experience with this system would be advantageous, but isn't essential.
- Flexibility to support various areas of the business and to attend different offices and site locations as needed.
