About The Role
The
Patient Services Administrator Team Leader
plays a crucial role in ensuring the smooth running of our patient administration services. You will oversee a team responsible for admitting patients into HealthHarmonie services and managing their discharge or onward referral at the end of their care pathway.
This position requires a proactive leader who can support, guide, and motivate the team while also ensuring high-quality administrative standards and adherence to departmental KPIs.

Key Responsibilities
As the Patient Services Administrator Team Leader, you will:
Team Leadership & Support
- Lead, support, and mentor Patient Services Administrators across all sites.
- Monitor individual and team performance to ensure KPIs and quality standards are consistently met.
- Provide day-to-day guidance and act as the first point of escalation for queries or operational challenges.
- Support with training and onboarding of new team members.
Operational & Administrative Duties
- Oversee the processing of patient notes following triage, ensuring timely acceptance into HealthHarmonie services or onward referral.
- Ensure accurate use of the National E-Referral Service and internal patient administration systems.
- Manage GP/hospital/laboratory queries via telephone and email, ensuring professional and timely communication.
- Review all patient outcome reports and ensure appropriate actions are completed.
- Oversee the chasing of outstanding patient histology results.
- Maintain and update departmental trackers and logs using Microsoft Excel.
- Support with booking and rescheduling patient appointments when required.
- Promote continuous improvement and identify opportunities to enhance workflow efficiency.
About You
We are looking for someone who brings both strong administrative capability and natural leadership qualities. You will have:
- Previous experience supervising or supporting a team (healthcare admin desirable but not essential)
- Strong organisational and administrative skills
- Excellent written and verbal communication abilities
- Ability to work independently and collaboratively
- A friendly, confident telephone manner
- Ability to use initiative and problem-solve effectively
- Confidence in using Microsoft Office, particularly Excel
What We Offer
- Salary: £27,000 (pro rata)
- Part-time, permanent contract
