Role Purpose:
Working closely with the Digital Communications Manager, the Digital Communications Officer will play a key role in the activities of the National Portrait Gallery's Communications team. The post holder will be responsible for providing effective and efficient support to a small but busy team, assisting with digital communications and acting as a point of contact for social media, telephone and email enquiries. This role will also support the general work of the team including arranging events, managing email campaigns, supervising filming and overseeing the evaluation of campaigns, as well as provide administrative support to the Head of Communications and Director of Audiences.The Digital Communications Officer reports to the Digital Communications Manager but works closely with the whole Communications team.
Key Accountabilities:
Digital Communications
- Organise the Gallery's monthly e-newsletter campaigns and work with the Digital Communications Manager to actively develop e-communications.
- Together with the Digital Communications Manager, deal with day-to-day queries and community management of the Gallery's social media channels.
- Write and create content for social media channels and monitor their effectiveness.
- In consultation with relevant colleagues, respond to and log comments and complaints via social media channels.
- Assist with keeping the marketing contact database/CRM system up to date.
- Ensure that communications content is up to date on the Gallery's website and ticket booking system.
- Assist with the evaluation of digital campaigns including a quarterly summary of KPIs.
- Support the financial administration of digital activity.
- Support the Digital Communications Manager in creating written, audio and film content for the website, e-newsletters and social media channels.
- Support the Digital Communications Manager with content creator marketing across digital channels.
- Support the Digital Communications Manager in implementing and developing our social media strategy, including on new and existing media platforms.
- Deputise for the Digital Communications Manager when required.
- Assisting the Digital Communications Manager in the supervision of the Social Media Volunteer.
- Act as a representative for the Gallery at external events as and when required.
- Contribute to writing alt-text for campaign assets in line with the Gallery's Digital Accessibility Guidelines.
Press
- When required assist press team with the arrangements for media views, press breakfasts and other events.
- When required help co-ordinate and supervise publicity filming and secure internal sign-off for location form agreements.
Communications Administration
- Liaise with Rights & Images and Exhibitions teams to finalise captions and copyright clearance and produce guidelines for image usage for digital communications.
- Liaise with teams across the Gallery to help promote their activity on our digital channels.
- Provide administrative support, including updating the Intranet, raising purchase orders, checking invoices and liaising with Finance team on administration.
- Liaise with Tessitura around trouble shooting and organise training.
Other
- Promoting sustainable working practices and reducing the environmental impact of the Gallery's operations in line with its Sustainability Statement.
- Occasional out of hours work to support events and promotional campaign work.
The postholder will be expected to demonstrate relevant knowledge and experience in relation to these aspects of the role.

Key Experience, Skills and Criteria:
Essential
- Educated to degree level (or equivalent experience), with a proven interest in social media and/or email marketing in the arts and cultural sector.
- Previous experience of working in a communications team ideally within a museum, arts or heritage organisation or similar environment.
- Experience in managing and maintaining accurate complex data, particularly working with CRM databases (e.g. Tessitura).
- High level of proficiency working with standard business software including MS Office applications (Word, Excel, Outlook, Teams, PowerPoint).
- Experience of financial administration.
- Good understanding of digital and social media channels.
Desirable
- Experience of, and an empathy with, working within the not-for-profit cultural and
- heritage sector in the UK.
- Knowledge of content creation and working with Adobe Creative Cloud (e.g. Photoshop) or similar editing software.
Skills and Attributes
- A strong communicator, with a clear and polite manner when dealing with face-to-face or telephone enquiries.
- Excellent written communication skills in order to deal effectively with email and social media enquiries.
- Excellent interpersonal skills and the ability to deal diplomatically with complex enquiries.
- Strong organisational and time management skills, with the ability to prioritise and manage workload independently and work a number of tasks simultaneously.
- Accuracy and a meticulous attention to detail, in particular with regard to data inputting and processing.
- Ability to work independently as well as collaboratively with colleagues within Communications and across the Gallery.
- Demonstrates passion and approaches all work in an enthusiastic way.
