The Office Administrator is likely to be the first point of contact when anyone approaches the Town Council. Therefore the following are examples of the types of functions pertaining to the role, however specific tasks may change over time as the Council and its duties evolve. The role is also pivotal in assisting other staff in their daily administrational duties and a flexible positive attitude is vital.

Reception/Contact Point

General receptionist duties, ie answering phones, door enquiries, greeting visitors, dealing with basic questions and enquiries from the public. For example, if someone wants to apply to be a trader on the market, signpost to the application form on the website rather than transfer to other staff. Ability to deal with enquiries would be built over time

  • Arrange and co-ordinate deliveries
  • Franking letters and dealing with the Post – collection and delivery

Office Organisation & Supplies

  • Checking post box on a daily basis
  • Ensuring office is maintained clean and tidy and stocked where necessary (ie tea/coffee, photocopy paper etc)
  • Act as Fire Officer for the office and First Aider
  • Liaison with NFDC caretaker on office matters
  • Liaising with office suppliers eg: water machine, consumables…
  • Point of contact for photocopier, ensuring toner is in stock etc
  • Maintaining key safe cabinet/keys/codes/ locked cabinets
  • Ensure files are safe, tidy, stored correctly

HR support

  • Administrative tasks with onboarding staff and induction process
  • Assisting Town Clerk/Deputy Clerk/RFO with recruitment needs, including arranging interviews, references etc
  • Liaising with staff on holidays remaining/maintaining leave bookings & wall sheet, and filing timesheets

Financial

  • Banking monies on behalf of Council where necessary
  • Liaising with insurance company under supervision of RFO
  • Online ordering for staff members

Council Admin/Democratic support

  • Room bookings (Mayors Parlor and Chamber)
  • Secretarial duties where necessary eg: typing/photocopying/filing
  • Admin support for office staff eg: confidential waste bins
  • Administrational research for other officers to support council basic functions
  • Organising any Council functions required
  • Bookings on behalf of Mayor/Deputy Mayor eg: breakfasts, meetings
  • Organising food and drink for Council meetings (usually Xmas, & Annual Town meeting)
  • Updating of website as requested & postings as required (training can be given)
  • Possible cover for Committees Officer
  • Setting up rooms for meetings (sorting microphones,/name cards / liaising with Committees Officer)
  • Very basic operational monitoring of Office CCTV function
  • Assistance at any events as required and if possible
  • Knowledge of IT and ability to assist other staff/liaise with IT provider if necessary

General

Widespread Council officer support . This role requires the ability to possess a 'can-do' attitude and assist in general office administration and the variety of officer duties and requests which cross the paths of an active Town Council. Some requests may be unusual and an embracing 'think outside the box' attitude is required.
