Purpose Of Role
The Meeting and Events Coordinator is a high-profile, hands-on role at the centre of one of the world's most prestigious sporting venues. You'll play a key part in planning, coordinating, and delivering world class meetings and events at the All England Lawn Tennis Club - from intimate private gatherings to large-scale corporate hospitality experiences during The Championships.

Beyond the day to day, the Meeting and Events Coordinator will be a driving force behind seamless guest experiences - working closely with clients, operations, culinary, and hospitality teams to bring each event to life with precision and flair. Your organisation, communication, and calmness under pressure will help ensure every detail reflects the excellence and tradition that define Wimbledon.

Outside of event delivery, the Meeting and Events Coordinator contributes to the continuous improvement of our service by supporting planning systems, refining processes, and sharing best practice with the wider teams to help shape the future of premium event experiences at this iconic venue.

Key Responsibilities

  • Coordinate and administer all internal and external meetings and events at the All England Lawn Tennis Club, ensuring every function is delivered efficiently, on time, and to the highest standard.
  • Manage event logistics and documentation using Delphi, including diary management, event packs, quotations, invoicing, and reconciliation.
  • Act as a key liaison between clients, suppliers, and internal teams to ensure seamless communication and exceptional service throughout the planning process.
  • Provide administrative and creative support for operational delivery - including signage, menus, table plans, and bespoke event details.
  • Lead weekly Function Meetings, capturing minutes, updates, and feedback to maintain accurate event records and continuous improvement.
  • Collaborate with the culinary team on seasonal menu updates, tastings, and event-specific requirements that enhance the guest experience.
  • Partner with finance on event budgets, ensuring accurate forecasting, billing, and post-event reconciliation.
  • Support The Championships through administrative coordination - including calendar management, catering logistics, menu proofing, and collaboration with the AELTC Food & Drink team.

Requirements

  • A genuine passion for delivering exceptional service, with a strong commitment to creating memorable guest experiences.
  • Excellent communication skills, confident engaging with a wide range of stakeholders and colleagues both in person and over the phone.
  • Strong IT proficiency, particularly within Microsoft Office applications such as Excel, Word, and PowerPoint.
  • Meticulous attention to detail, ensuring accuracy and quality across all event administration and delivery.
  • Highly organised, with the ability to plan, prioritise, and manage multiple tasks in a fast-paced environment.
  • Self-motivated and proactive, with strong time management, initiative, and a results-driven approach.
  • Calm, flexible, and professional under pressure, maintaining composure and dignity in all situations.
  • A confident ambassador for both Levy and the All England Lawn Tennis Club, consistently upholding company values and standards.
