Overview and Objectives

Reporting to the Senior Operations Manager, you will be responsible for coordinating coach hire and service logistics, supporting the successful delivery of event operations, as well as creating and maintaining accurate operational information. Based full-time in our Birmingham office, you will also work on-site at events as required to help ensure the smooth and efficient operation of our transport services.

Responsibilities

● Work within the operations team to assist with coach hire, sales reviews and the creation of operational packs, ensuring all shared information is present, up-to-date and accurate.

● Work on assigned events to deliver our event-travel services, progressing towards managing on-site operations.

● Liaise with coach operators to secure suitable vehicles at competitive rates, negotiating costs and volumes in line with company requirements and profit margins.

● Assist the Assistant Head of Operations and Senior Operations Manager with demographic analysis and timetable creation.

● Build timetables in Pacman by inputting services, locations, and fares into our data management system, ensuring deadlines for services going on sale are met.

● Managing seat stock effectively.

● Update reference sheets on Google Drive, ensuring all departments have the latest service information.

● Create Driver Information Packs for each event, including driver directions, event-specific details and route schedules.

● Actively participate in operational planning and event debriefs.

● Liaise with local councils to discuss and communicate operational plans.

● Coordinate operations both in the office and on-site, including the management of staff, vehicles, drivers, seat stock, sales reports, and customers at temporary transport hubs.

● Update operational logs (e.g., stop locations, departure charges, departure slots) as required.

● Work to tight deadlines to ensure the smooth running of coach operations.

● Use general IT systems and Microsoft applications to complete day-to-day tasks.

● Carry out general office duties, including managing telephones, updating spreadsheets and sending team updates.

Skills and Qualities

Essential

● Experience within an operational environment

● Experience dealing with the general public in a work environment

● Good IT skills

● Good telephone manner

● Hands-on attitude

● Confidence to negotiate

Preferred

● Experience in managing and/or supervising staff

● Transport and/or Logistics experience

● History of working in the festival/events industry

● Experience of working on a festival/ live event site
