Position Summary

The Dental Laboratory Administrator is responsible for managing the daily operations of the dental lab to ensure efficiency, accuracy, and timely delivery of cases. This role involves coordinating communication between dentists, technicians, suppliers, and management while overseeing administrative functions such as case scheduling, billing, inventory control, and quality assurance. The ideal candidate combines strong organizational and communication skills with a working knowledge of dental laboratory processes.

Key Responsibilities

Operational Management

  • Oversee the daily workflow and scheduling of dental cases from receipt to delivery.
  • Ensure accurate data entry, labeling, and tracking of all dental lab cases.
  • Maintain and update digital case management systems
  • Coordinate logistics for case pick-up, delivery, and shipping.

Administrative Duties

  • Manage correspondence with dental offices, clients, and suppliers.
  • Prepare invoices, manage accounts receivable/payable, and process payments.
  • Maintain accurate records of client accounts, lab orders, and production schedules.
  • Support budgeting, reporting, and performance tracking for lab operations.

Team Support & Communication

  • Serve as a liaison between dental technicians and clients to clarify prescriptions, materials, and turnaround times.
  • Facilitate effective communication between departments to ensure case quality and customer satisfaction.
  • Assist management with HR tasks such as scheduling, training coordination, and staff documentation.

Inventory & Equipment Management

  • Monitor and order dental materials, supplies, and equipment as needed.
  • Track inventory usage and ensure cost-effective stock management.
  • Coordinate maintenance and calibration of lab equipment.

Compliance & Quality Control

  • Ensure adherence to dental laboratory regulations, infection control, and safety protocols.
  • Support quality control procedures and assist in identifying process improvements.
  • Maintain confidentiality of patient and client information in compliance with HIPAA and data protection standards.

Qualifications & Skills

Education & Experience:

  • Associate or Bachelor's degree preferred; relevant experience may substitute for formal education.
  • Minimum 1 years of administrative experience
  • Knowledge of dental terminology, prosthetics, and lab workflow strongly preferred.

Soft Skills:

  • Excellent communication and customer service skills.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Attention to detail and commitment to accuracy and efficiency.
  • Ability to work collaboratively in a fast-paced environment.
