Role Overview
The Facilities Assistant supports the COO in ensuring BAJ's sites operate smoothly, safely and efficiently. You will play an important part in maintaining a high-quality learning environment for students and staff by assisting with safety compliance, site maintenance coordination, contractor liaison and equipment administration.
This role is ideal for someone organised, proactive, and eager to grow their skills in facilities management within a dynamic educational setting.
Key Responsibilities
· Facilities & Administrative Support
· Monitor and maintain stock levels of stationery, equipment and cleaning supplies; raise orders as required.
· Assist with asset management, including preparing IT and equipment for staff onboarding and collecting items during offboarding (laptops, mobile phones, keys, etc.).
· Support the allocation and tracking of Microsoft licences (A1, A3, A5) under guidance from Manager.
· Maintain up-to-date records of active and closed staff email accounts and ensure accounts are created and closed on time.
Compliance & Safety
· Support the scheduling and documentation of regular fire alarm testing (in coordination with centre-based staff).
· Arrange fire extinguisher servicing and keep accurate servicing records.
· Assist with site risk assessments, occasionally completing assessments where appropriate.
· Contractor & Site Support
· Liaise with contractors to obtain quotes for routine repairs or maintenance.
· Help monitor progress of agreed works and ensure timely completion.
· Work with the Accounts team to process contractor invoices.
· Arrange holiday cover for security personnel when required.
· Cleaning & Site Standards
· Conduct bi-weekly site visits across London centres to monitor cleaning standards.
· Provide feedback and guidance to cleaning staff and escalate issues where needed.
· Assist with delivering training to cleaning teams when required.
· Travel
· Regular travel between Camden and Euston sites.
· Occasional same-day travel to regional centres (Sheffield, Birmingham, Leicester, Nottingham).
Person Specification
· Qualifications & Training
· A Health & Safety or risk assessment qualification is desirable but not essential (training may be provided).
Skills & Knowledge
· Strong team player with an "all hands on deck" attitude.
· Able to work independently and manage tasks with minimal supervision.
· Highly organised with strong time management skills.
· Proactive and solutions-focused, with an interest in improving systems and reducing costs without compromising quality.
Experience
· Previous experience in facilities, operations, administration, or a similar support role is essential.
· Experience in an education environment or multi-site organisation is desirable.
· Comfortable working in a fast-paced and evolving environment.
