Role Overview:
We are seeking a proactive and highly organised HR Assistant to start immediately, to provide essential administrative support across all HR functions. This entry-level role is perfect for someone looking to build a career in Human Resources, offering broad exposure to recruitment, employee relations, training, and HR administration. You will be the first point of contact for many employee inquiries, ensuring smooth and efficient daily operations within the HR department.
Reports to: Head of HR
Location: Basildon, Essex
Key Responsibilities:
Administration & Documentation:
- Maintain and update all employee records with accuracy and confidentiality, including contracts, personnel files, and leave records.
- Prepare HR documents, such as employment contracts, offer letters, change of terms letters, and termination paperwork.
- Manage the HR inbox and correspondence, responding to general employee queries or escalating them appropriately.
Recruitment & Onboarding:
- Assist with the full recruitment life cycle, including posting job adverts, screening resumes, scheduling interviews, and communicating with candidates.
- Coordinate and administer the new-hire onboarding process, ensuring all documentation is completed and new employees have a smooth transition into the company.
Payroll & Benefits Support:
- Assist in preparing and submitting monthly payroll input data (e.g., changes, overtime, absence) to the payroll provider.
- Help administer employee benefits programs and track enrollment status.
Employee Relations & Support:
- Support the coordination of HR projects, training sessions, and employee engagement initiatives.
- Assist with coordinating performance review cycles and tracking completion.
- Generate standard HR reports and assist the HR team with data analysis as needed.
Essential Skills & Qualifications:
- Organisational & Administrative Skills: Exceptional attention to detail, strong time management, and the ability to manage multiple administrative tasks simultaneously and prioritize effectively.
- Communication: Excellent verbal and written communication skills, with the ability to maintain professionalism and discretion when dealing with sensitive information.
- IT Proficiency: Competency in Microsoft Office Suite (Word, Excel, PowerPoint) is required, particularly with using Excel for basic data tracking and reporting.
- Confidentiality & Integrity: A strong understanding of the need for strict confidentiality and discretion in all HR matters.
- Proactive Attitude: A motivated self-starter with a willingness to learn and take on new challenges.
- Experience in a similar role or 1+ year in HR
