Your new role, what's involved?

Reporting directly to CEO, you will play a key role in the overall successful management of all of School of Outdoors events.

We believe in allowing our team to manage their time effectively to ensure deadlines are met, whilst ensuring home life remains key.
You will, therefore, be able to work independently and manage your time appropriately. Colleagues will support you remotely and in person, to share tips and best practice, pro-actively contributing to ensuring a safe and healthy working environment. You will get involved in new business initiatives and ideas.

Your main place of work will be between home and the company stores in High Wycombe, with travel to our store hubs and events across the south east. A full clean driving licence is essential. From time to time, there will be additional travel for meetings with other colleagues and events. You will be supplied with a company laptop and mobile phone and have access to our company vans.

Create a consistent approach to managing people and resources to ensure:

  • Each event has the right number of qualified instructors allocated and briefed.
  • Instructor compliance is always up to date, including monitoring qualifications such as first aid and safeguarding.
  • New instructors are onboarded efficiently, and waiting lists are managed proactively.
  • Staff availability and preferences are captured and used effectively to maximise engagement and event coverage.
  • Any issues such as missing pre/post event admin, or negative client feedback, are picked up quickly and addressed supportively.

Create a consistent approach to managing our warehouse and fleet to ensure:

  • The warehouse operates safely and efficiently, with all compliance checks completed (e.g. fire inspection, water, and electricity readings).
  • The warehouse team are supported to maintain high standards of equipment readiness.
  • Company vehicles and trailers are roadworthy, booked for MOT and servicing, and allocated efficiently across events.
  • All drivers are approved and compliant with company policy.

Create a consistent approach to equipment management to ensure:

  • Equipment levels are tracked, maintained, and available in the right quantities for each event.
  • Stock takes and ordering are carried out in line with seasonal demands.
  • Equipment meets required standards and any supplier quality issues are escalated and resolved.

Making an impact

Develop processes to effectively:

  • Manage the master company calendar and know our operational capacity, identifying when we can take on more work or where resources need to grow.
  • Ensure every event is fully resourced with the correct staff, vehicles, and equipment.
  • Liaise with campsites and venues to confirm event numbers and logistics.
  • Review event feedback from clients and staff and act on findings to improve operations.
  • Support the DofE Operations Manager to refine school booking and planning processes for the following year.
  • Identify and resolve last-minute operational challenges, such as replacing staff or reorganising logistics for upcoming events.

Building meaningful connections

Within School of Outdoors:

  • Work closely with the Operations and Warehouse teams to ensure smooth logistics between staffing, equipment, and event schedules.
  • Communicate clearly and regularly with Course Directors, ensuring they have what they need for each event.
  • Provide feedback and support to new instructors, helping them develop and feel valued within the team.
  • Contribute to internal meetings, CPD, and social events to strengthen collaboration and culture.

With our partners and suppliers:

  • Liaise with campsites, venues, and suppliers to maintain excellent working relationships.
  • Address any issues relating to equipment quality or service and ensure suppliers understand our standards.
  • Explore alternative suppliers and equipment options to enhance reliability and value.

A Typical Week Might Include

  • Running video calls to onboard new instructors.
  • Chasing first aid renewals and other compliance deadlines.
  • Contacting campsites to confirm numbers for upcoming events.
  • Meeting with the DofE Operations Manager to refine booking processes.
  • Spending time in the warehouse checking equipment and following up with suppliers.
  • Submitting warehouse utility readings.
  • Finding replacement staff at short notice for an event and reorganising logistics.
  • Reviewing feedback from recent events and supporting instructors' development.

Full time 35 hours a week

Pay

£36k – to £42k. depending on experience

· Annual Leave: Up to 20 days leave

· Birthday: 1 additional day. If this falls on a non-working day employees can request an additional day in the week prior or following.

· Moving House:1 additional day

· Christmas period: 3 additional days, to be taken after 25th December and before 31st January.

· An additional 1 day per full year worked up to a maximum of 5 days.
