Admissions Operations Specialist

Reporting to the Director of Undergraduate Admissions, with additional supervision from the Project & Process Manager, the Admissions Operations Specialist supports and analyzes all systems used by Widener University's admission offices (Undergraduate and Graduate & Continuing Studies). This includes Ellucian Colleague (student information system of record), Technolutions Slate (CRM system) and third-party data systems (e.g., Common App, CAS, IData).
The Specialist also leads Undergraduate-specific tasks involving, but not limited to, Niche prospecting & 3E report building.
DUTIES AND RESPONSIBILITIES (including, but not limited to):
Essential Duties:
Systems & Operations Management
- Configure, maintain, and improve admissions technology systems and workflows.
- Ensure systems align with institutional priorities and operate efficiently.
Data Integrity & Reporting
- Design and analyze reports and dashboards to support enrollment strategies.
- Deliver actionable insights to admissions leadership and program directors.
- Ensure admissions data is accurately reflected in the system of record at the conclusion of each admission cycle.
System Integration & Vendor Coordination
- Manage integrations between Slate, Colleague, CAS, and other platforms.
- Serve as liaison with third-party vendors for updates, testing, and data exchange.
Process Optimization
- Refine communication plans, application review processes, and enrollment workflows.
- Enhance operational accuracy, efficiency, and user experience.
Training & Support
- Train admissions staff, faculty, and stakeholders on Slate and reporting tools.
- Provide ongoing technical guidance and troubleshooting.
Undergraduate Special Programs
- Design and optimize strategic processes that support targeted undergraduate admission initiatives, including the Honors Program, 3E prospecting, Niche direct admissions, and other specialized recruitment efforts.
Secondary Responsibilities:
- Monitor and resolve data quality issues across admissions systems.
- Collaborate with Institutional Research and university leadership on data delivery.
- Support enrollment planning and compliance reporting.
- Perform other job-related duties as assigned or directed to support departmental needs and align with the mission of Enrollment Management.
MINIMUM QUALIFICATIONS (education/training and experience required):
Required:
- Bachelor's degree.
- 1–2 years of experience with CRM or data information systems.
- Strong organizational, communication, and customer service skills.
- Ability to handle multiple tasks, manage time effectively, and meet deadlines.
- Attention to detail and a commitment to maintaining data accuracy and confidentiality.
Preferred:
- Experience in higher education admissions processes and procedures.
- Familiarity with Slate CRM and Ellucian Colleague systems.
PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:
- Fast-paced office setting with frequent in-person and electronic interactions.
- Must be able to sit at a computer and operate office equipment for extended periods.
- May need to occasional lift items up to 20 lbs.
- Mobility between workstation and various campus buildings.
- Some evening/weekend availability during peak periods and events.
