We're looking for a senior Executive Assistant to support our Global Head of Operations, who leads a function of 4,500+ Wisers worldwide. You'll run the day-to-day executive rhythm - calendars, travel, communications, materials, and information flow - so this executive can focus on strategic priorities and projects. You'll proactively surface what's needed, act with pace, and ensure the right people are in sync at the right time. You'll work in a fast-paced, global environment and partner closely with the Operations leadership team, Servicing Partners (People, Finance, Analytics), and our EA community.
What You'll Do
Executive support and time management
- Own complex calendar management across time zones; act as gatekeeper and prioritise requests based on impact and urgency.
- Plan and manage international travel, itineraries, and logistics; handle expenses and allowances.
- Maintain inbox hygiene and response workflows; draft and triage emails/Slack; ensure the exec is prepped for the day, week, and key moments.
Meetings and communications
- Plan and run leadership meetings, all-hands and offsites: agendas, pre-reads, logistics, attendee coordination, and tech/setup.
- Capture decisions and actions; track follow-ups to closure and hold owners accountable.
- Coordinate during "board season" with Wise leadership for seamless scheduling, briefing materials, and dry runs.
- Maintain clear documentation (Confluence, shared drives); run efficient document and approval management with strong version control.
Stakeholder and information flow
- Serve as a key point of contact for internal and external stakeholders; represent the executive with professionalism and discretion.
- Liaise across Operations (e.g., Customer Support, KYC, Financial Crime, Payment Operations, Scale & Experience) and central teams to align priorities and unblock decisions.
- Collaborate with Servicing Partners (People, Finance, Analytics, Internal Comms) on calendars, comms cascades, planning cycles, and key events.
Process improvement
- Streamline workflows, templates, and approvals to increase efficiency and consistency; evolve the exec operating rhythm as the team scales.
- Keep files, records, and trackers organised; use basic data analysis in Google Sheets to support planning and reporting.
- Lead and coach a small group of EA's, share best practices, set standards, and drive consistency across Servicing Operations.
About You
- Proven experience as a senior EA/PA in a high-growth or technology environment, supporting a global executive (COO/Head of Operations experience preferred).
- Practical self-starter with strong initiative and a bias for action - you're hands-on and get things done.
- Operates with a high degree of autonomy and sound judgement; comfortable making decisions on behalf of the executive in a fast-changing environment.
- Excellent relationship builder who earns trust across levels and functions, and leverages those relationships to drive outcomes.
- Exceptional discretion and professionalism with sensitive information.
- Outstanding organisation, attention to detail, and ability to manage multiple high-priority items.
- Strong written and verbal communication skills; confident in preparing executive-level materials.
- Proactive problem-solver who anticipates needs, resolves issues autonomously, and stays calm under pressure.
- AI-curious and tool-savvy; comfortable using AI to automate routine work and improve workflows.
- Comfortable giving and receiving direct feedback; collaborative and solutions-oriented.
- Highly proficient with Google Workspace (Gmail, Calendar, Docs, Slides, Sheets), Slack, and basic analysis in Sheets.
