Job Summary
We are seeking a detail-oriented and proactive College Operations Officer to support our daily operational activities. The ideal candidate will possess strong organisational skills and a solid background in administrative tasks for an educational setting. This role is essential for ensuring smooth office operations and providing excellent support to our team and learners.
Ideal Candidate
- Have hands on experience of the Individual learner Record systems and returns
- Data anaylist experience and able to create reports at a high level
- Have 3 years experience of working in a college operations and services role
- Have experience as an exams officer
- Have experience of bookkeeping, Pay roll and HR
- Have experience Admissions, Enrolment, Registrations and claiming of learners qualifications within a FE or school environment
- Have Experience of holding a role as personal Assistant
- Strong customer services skills and conflict resolution
- Experience of Apprenticeships and associated systems including E- Portfolio and the Apprenticeship service.
Duties
- To have a experience and understanding of student admissions and college based systems such as PICS, Smart Assessor and BSKB
- To have a understanding of the Individual Learner Record and the requirements to provide error free data returns to the Department for Education
- Assist in managing office supplies and inventory, ensuring all necessary materials are available
- Perform data entry tasks accurately and efficiently, maintaining up-to-date student records
- Provide clerical support, including filing, scanning, and document management
- Answer phone calls with professionalism, demonstrating excellent phone etiquette
- Utilise Microsoft Office to create documents, spreadsheets, and presentations.
- Be the exams officer for the College and Training centre, Registering learners with Awarding Bodies and conducting exams inline with the JCQ requirements
- Support financial operations by assisting with data entry and basic accounting tasks
- Collaborate with team members to streamline processes and improve operational efficiency
Skills
- Previous office, Admissions, Exams and Management, Information and Funding experience is essential for success in this role
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Administrative experience that demonstrates the ability to manage multiple tasks effectively
- Excellent organisational skills with a keen attention to detail
- Typing skills that ensure accurate documentation and communication
- Familiarity with business systems such as xero, PICS, BSKB and Smart Assessor is advantageous but not mandatory
- Experience in data entry and clerical duties is highly valued
