Job Description:

This role will provide critical support to the Chief of Staff and Mayor's Office by overseeing logistical coordination, streamlining workflows, managing high-level agendas, and supporting cross-departmental initiatives. This position is ideal for a detail-oriented professional with strong analytical, organizational, and communication skills who thrives in a fast-paced, high-visibility environment.

Examples of Duties:

  • Supports the Chief of Staff in tracking strategic initiatives and managing follow-ups with department heads and stakeholders.
  • Assists in compiling, analyzing, and presenting data to inform executive decision-making.
  • Coordinates meetings, prepares agendas, and ensures accurate and timely documentation of action items.
  • Manages internal communications and assists in drafting correspondence on behalf of the Chief of Staff and Mayor.
  • Provides backup support for the Mayor's Executive Assistant, including calendar management, call screening, and reception duties as needed.
  • Helps implement project management systems and tools to enhance operational efficiency.
  • Tracks deadlines, manages task lists, and ensures alignment with office priorities and goals.
  • Performs other duties as assigned.

Basic Qualifications:

  • Bachelor's degree in public administration, political science, business, or related field (or equivalent experience) and 3 years of experience in executive support, project management, data analysis, or public sector operations; or an equivalent combination of education and experience.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Thorough knowledge of Microsoft Windows, Outlook, Excel and Word or similar software.

Other Necessary Requirements:

  • In the event of major storms or other emergency situations, this position may be subject to 24-hour shifts or any other emergency schedule that is necessary to meet the City's needs.
  • May require evenings, weekends, and holidays as scheduled.
